Recruitment Matters Senior Administration Assistant Jobs in Zambia

Our client in the hospitality industry is looking for a Senior Administration Assistant to join their team;

Duties and responsibilities include but are not subject to:

  • Supervise and effect the correct and timely completion of the accounting transactions reporting process for each of the Hotel Operations in the Group.

  • Supervise and ensure that accounts are reconciled and analysed as required

  • To oversee the management of finances of all Hotel Operations and ensure that all financial commitments are met.

  • Auditing all Hotel Operations on a regular basis.

  • Liaising with Banks and other financing institutions.

  • Analysis of group series business, pick up, history and current trends.

  • Ensuring optimal use of all distribution channels.

  • Monitor performance of Travel agents, Tour operators, PCO’s, Corporate companies.

  • Maintenance of historical data, calendar of events required for revenue decisions.

  • Compiling daily, weekly, monthly and annual stats: Occ %, ARR, Revpar, Revenue.

  • Assisting in the compilation of occupancy %, ARR, Revpar budget for the financial year.

  • Compiling of daily, weekly, and long term forecast.

  • Communicate the revenue management to all the directors.

  • Salary Journal;

  • Preparation of monthly Forecast

  • Annual Budget in conjunction with GM’s Forecast

  • Annual Audit proceedings

  • Management Accounts

  • Month end

  • Depreciation Journals

  • Cash flow Management

  • All Returns and Payments to be done timeously

  • Assets Depreciation

  • Insurance Updates and claims

  • Maintenance of all Hotel Contracts

  • Provision, Accruals and Prepayments

  • Control of statistical information and action to be taken


  • Ability to deliver quality work on tight deadlines, with strong organization and priority setting skills.

  • Advanced computer skills, specifically in Excel.


  • Degree in Accounting or equivalent qualifications

  • Previous experience in a Hotel accounting position would be beneficial

  • Microsoft office (Word + Excel) essential

  • Knowledge of Hotel procedures would be beneficial

  • Excellent communication skills

  • Ability to work independently and under pressure

  • Self motivated

  • Accuracy + Consistency essential
