Recruitment Matters Operations & Warehouse Manager Jobs in Zambia

Our client is looking for an Operations & Warehouse Manager. This is a new role for a new business, which will be intending to scale up significantly during the first year of operations. The OWM will play a pivotal role in the success of the business and as such the role, and potential renumeration, are likely to develop accordingly. We are looking for someone from a consumables distribution, supply chain, logistics background. A can-do, self-motivated and problem-solving attitude is essential.


Customer Orders

  • Ensure all orders received are delivered on time and within the SLA.

  • Communicate with clients regarding timing of deliveries and any issues arising with stock or deliveries.

  • Oversee processes and paper trail – dispatch stock with picking tickets, delivery notes, invoices.

  • Oversee and undertake delivery of orders, resolving any issues as they arise.

  • Provide support for clients - build strong relationships with both potential and existing customers through regular communications and always ‘going the extra mile’.

    Warehouse Management

  • Manage warehouse in compliance with company’s policies and vision.

  • Oversee receiving, warehousing, distribution and maintenance operations.

  • Setup layout and ensure efficient space utilization.

  • Initiate, coordinate and enforce optimal operational policies and procedures.

  • Adhere to all warehousing, handling and shipping legislation requirements.

  • Maintain standards of health and safety, hygiene and security.

  • Receive inbound stock and load onto system.

  • Oversee inventory management - manage stock control with regular stock takes, and reconcile with data storage system, resolving any stock variances.

  • Produce reports and statistics regularly (IN/OUT status report,
    dead stock etc.)

  • Liaise with clients, suppliers and transport companies.

  • Plan work rotas, assign tasks appropriately and appraise results.

  • Recruit, select, orient and develop employees.

    Operations & Administration

  • Oversee day to day administration and housekeeping functions of the office and warehouse.

  • Source, procure and manage stock levels of supplies.

  • Liaise with external contractors and suppliers.

  • Oversee security protocols.

    Key Skills:

  • Expertise in warehouse management procedures and best practices.

  • Proven ability to implement process improvement initiatives.

  • Experience contribution to budgets and strategic planning.

  • Strong knowledge of warehousing and distribution KPIs.

  • Advanced use of Microsoft Office software (Outlook, Excel, Word, Teams).

  • Hands on experience with inventory management and bookkeeping software – Sage Pastel an advantage.

  • Leadership skills and ability to manage and motivate staff.

  • Strong decision making and problem solving skills.

  • Excellent communication skills.

  • Relevant qualification in logistics, supply chain management or business administration.


  • Proven work experience as an Operations Manager.

  • Full Zambian driving license – class C1 or above preferred
