About the Role

Pulse is looking for an HR & Admin Manager to join our Pulse Uganda team. The HR & Admin Manager will advance Pulse’s people strategy and priorities in Uganda and deliver processes, programs and activities that support a productive, fun workplace and the achievement of business objectives.

The HR & Admin Manager will anticipate employees’ and managers’ human resource and office-related needs, problem solve, and provide great support for a positive experience for the entire organization.

Location: Pulse Uganda, Kampala, Uganda

Duties & Responsibilities

HR

  • Implement key HR initiatives (policies, programs, processes), ensuring that they effectively support Pulse’s mission, vision, values, and overall business objectives.

  • Gathering information, diagnosing problems, providing solutions, and offering objective assistance and guidance on HR issues to managers.

  • Carry out workforce planning and talent acquisition for Pulse Uganda and its sub-brands, ensuring that employees with the right skills, experience and attitude are hired in all positions.

  • Hands-on recruiting - from sourcing, reviewing applicants, administering selection tests, interviewing, and reference checks, to signed offers. Ensure diligent follow-through at all stages to ensure a great candidate experience.

  • Seamlessly manage employee life cycle processes from onboarding (entry) to offboarding (exit), ensuring compliance with relevant employment laws and international best practices. Ensure excellent service delivery at all stages for a positive employee experience.

  • Stay on top of market trends in compensation and benefits in Uganda to ensure that what we offer is competitive, fair and motivating to reward and retain employees.

  • Performance management and managing regular review and check-in sessions to align performance with expectations throughout the company.

  • Ensure employees are maximising available learning & development resources. Develop internal training programs and/or work with external training providers to set up employee training as needed. Offer general coaching and support to managers and employees.

  • Keep employee records, payroll, org charts, etc. accurate and up to date. Ensure any expatriate paperwork is always up to date.

  • Serve as an advocate for the company, promoting our values and culture. Monitor the "pulse" of employees to ensure a high level of engagement. Push for a positive employer brand for Pulse and its sub-brands, internally and externally.

  • Track and report
    on relevant HR metrics to drive process improvement and support high-quality decision-making across the company.

  • Hold the confidential information of employees and the Company in strict confidence and exercise a reasonable degree of care to prevent unnecessary disclosure to others either directly or indirectly, except authorised to do so.

    Admin

  • Responsibility for ensuring the smooth running of the office - facilities, equipment and resources should be well maintained, office supply needs should be fulfilled in a timely manner.

  • Manage and control the admin budget, ensuring good cost savings. Ensure correct and transparent record keeping of admin expenditure and office and employee assets, with supporting documents well organized in Google Drive for audit purposes.

  • Oversee the Admin team including office assistants, drivers and other support staff

  • Oversee supplier, vendor, and contractor management.

  • Control to ensure the correct use of office resources such as the company vehicle, Uber and Bolt accounts and analyse monthly reports.

  • Ensure health and safety procedures are regularly updated and adhered to.

  • Manage and supervise office moves and other infrastructure planning and changes.

  • Oversee general administrative support, ensuring travel planning, correspondence, planning for meetings and events, hospitality planning for guests, etc. are well handled.

    Candidate Profile

  • 3+ years of professional experience in HR Management with a strong understanding of all areas of HR

  • Ability to professionally handle sensitive and confidential information

  • Ability to coach individuals and influence them to ensure successful results

  • Strong detail orientation, communication, and prioritisation skills

  • Proficient with Google workspace, sheets, docs and slides

  • Excellent relationship-building and stakeholder management skills

  • A passion for people and the employee experience

  • HRMAU membership or other professional HR certification is a plus
