Director of Facilities Management Job Vacancy

In July 2019, Pharo School Homosha will be opening its newly completed Grade 9-12 boarding school for female students in the Benishangual-Gumuz region.

Fully funded by the Pharo Foundation, the Pharo School Homosha campus is situated on 3 hectares of land and is made up of eight buildings, (comprising of Administration, Classrooms, Library, Hall, Cafeteria, Dormitory, Store and Service) with a total area of over 6,000 M2.

The Director of Facilities Management will play a vital role in the efficient, safe and high standard functioning of the Pharo School Homosha campus and all of its off-site components, by administering and overseeing the management, maintenance, repair, improvement and cleaning of all buildings and associated electrical, mechanical, water well, waste management and reservoir systems, plumbing and grounds.

The Director of Facilities Management is responsible for designing all necessary Facility Management policies and, along with the Facilities Maintenance team, overseeing the maintenance of all system components and buildings to a level of excellence.

The Director of Facilities Management will develop budgets for system maintenance and upgrades, manage safety issues and trainings, and upgrade the effectiveness of the maintenance and janitorial staff.

Applicants with supervisory and progressively responsible experience in a complex facilities environment (i.e. hotel, hospital, boarding school), are encouraged to apply.

Working knowledge and experience in the proper installation, maintenance, operation and repair of wells, water systems, septic systems, ground water reservoirs, sanitation and plumbing, electrical, mechanical and structural systems is required.

This position is integral to the smooth running of the Pharo School Homosha campus and requires living on the campus site. Accommodation (one bedroom apartment with private shower/toilet) and meals are provided.

Administrative Management Responsibilities

  • Planning, organizing and developing all Facilities Management policies, procedures and objectives;

  • Direct management and supervision of:

  • Assistant Director of Facilities Management

  • Janitorial/Cleaning Supervisor

  • Maintenance staff and Grounds keeping staff

  • Interviewing, hiring, and training employees;

  • Planning, assigning, and directing work;

  • Appraising performance and setting goals;

  • Addressing complaints and resolving problems in order to maintain a highly trained and motivated staff;

  • Administering all Pharo School management and safeguarding policies and procedures as they pertain to the Facilities & Maintenance Department.

  • Weekly meetings with the Pharo School Management Team

    Facilities Management Responsibilities

  • Establish standards for maintenance and preventative maintenance for all buildings, systems (electrical, mechanical, water well, waste management and reservoir systems, plumbing), grounds and equipment.

  • Ensure that the standards are consistent or exceed pertinent national/regional regulations for fire and safety.

  • Conduct on-site inspections of relevant buildings and systems and provide guidance and recommendations for routine and emergency technical issues

  • Maintain detailed logs and records for all buildings and systems.

  • Ensure that standards and accurate record keeping are followed by all maintenance staff.

  • Develop a daily/weekly/annual monitoring plan of all buildings and systems (electrical, mechanical, water well, waste management and reservoir systems, plumbing), grounds and equipment

  • Plan schedules, and projects in a manner to best use time, personnel, and resources

  • Act on any urgent matter directly to resolve any maintenance or safety issues;

  • Oversee compliance with all national and regional level safety regulations;

  • Perform appropriate maintenance or contact appropriate contractors for maintenance;

  • Supervise preventive maintenance;

  • Design and implement resource and energy saving procedures and programs throughout the campus;

  • Provide training for cleaning staff to complete job basics, use of chemicals and equipment, etc.;

  • Train cleaning staff to complete light maintenance tasks (changing light bulbs, unclogging drains, etc.)

  • Provide safety training (equipment, work practices, chemicals, etc.) for all employees (administrative, teaching, maintenance, kitchen, janitorial staff);

  • Work with Pharo School Management Team to develop future projects and upgrades.

    Education

  • Advanced University degree in Business/Public Administration, Engineering, or other relevant field relating to office management and administration, or First University degree with additional years of related work experience and/or training/courses.

    Experience and Qualifications

  • Minimum of three years of experience in Administrative Management with evidence of developing organizational policies and objectives;

  • Minimum of four years of professional experience related to complex facilities management experience;

  • In depth knowledge and experience in preparing, implementing and monitoring SOPs;

  • Ability to critically assess and review procedures and systems to recommend improvements where necessary to address potential weaknesses and mitigate risk;

  • Experience managing a multi-functional team;

  • Proven experience providing a supportive role leading projects and implementing strategic vision into functional policies

  • Outstanding English skills (comprehension, verbal, written and spoken). An assessment will be given.

  • Working knowledge and direct experience with a various systems (plumbing, electrical, mechanical, water well, waste management and reservoir systems)

  • A valid driver’s license and experience operating small/heavy machinery

  • Ability to prioritize multiple tasks

  • Ability to exercise sound judgment and work independently

  • High level of evaluative skills

  • Ability to establish and maintain effective working relationships with others

  • Thorough knowledge of safe work practices

  • High degree of Initiative and follow through

  • Good computer skills

  • Exceptional ability to maintain detailed records

  • Ability to take a personal interest in the school campus and see it as “one’s own”

  • Unwavering sense of humour

  • Available when off duty to manage urgent/emergency situations
