Job Details:

  • Play it Forward Zambia (PFZ) is seeking an individual to join our team of dedicated staff in Livingstone. The person will manage effective project delivery by working in partnership with donors and organizations and to contribute to identifying new opportunities, preparing proposals for submission and the development of innovative ideas.

  • The Project Officer (PO) will be responsible for the design and implementation of PFZ’s Sexual and Reproductive Health (SRH) project which promote efforts of meeting the organization’s overall vision, mission and organisational goals, thereby impacting on the organization’s collective responsibilities and results.

    Essential skills and experience

    • Minimum of 3 years project management experience working in/with government, intergovernmental or international NGO organizations. Expertise in the delivery of Sexual & Reproductive Health programmes will be an added advantage.

    • An appropriate degree level qualification in a relevant discipline, such as Public Health, Community Development, Social Sciences, Social Work, NGO Management, Sport for Development or equivalent.

    • Experience delivering HIV projects and up to date subject knowledge.

    • Experience of managing high profile donors including reporting, bid preparation and relationship management.

    • Proven record of budget construction and management.

    • Excellent English communication and interpersonal skills.

    Main duties and responsibilities

    Project Management

    • Key Deliverable: Strong project management systems for planning, delivering and evaluating projects for clearly measurable impact.

    • Ensure that robust systems of planning and delivering projects are in place and implemented, from design and inception to delivery & evaluation (MEL).

    • Regularly monitor project performance and compare to targets, deliverables, and budget.

    • Ensure that the planning, delivery and evaluation of projects complies with donor expectations and the terms of donor contracts, and that reporting to donors is of the highest standard.

    • Ensure that PFZ can clearly demonstrate the impact of its work through annual impact assessments, and promotes and disseminates its impact and learning to partner organisations, participants and stakeholders.

    • Using the learning and achievement of projects, develop new project proposals, ensuring that participants are involved in the process, along with relevant members of staff.

    Financial Management

    • Key deliverable: Ensure financial controls are adhered to and provide regular quality financial reporting as required.

    • Maintain records
    and control expenditure on both partner’s and PFZ’s budget lines in consultation with the Accountant.

    • Compliance with policies and procedures that safeguard staff and the assets of the organization and funding partners.

    • Ensure all expenditure is within monthly and annual budget restrictions.

    • Provide quarterly financial reporting in consultation with the Country Director and Accountant.

    • Assist in managing transfer of funding to project partners in consultation with the Country Director and Accountant.

    Performance Management

    • Key Deliverable: Create and implement a performance management system across the organization.

    • Ensure that robust project learning processes are in place which capitalize on lessons learned, are communicated effectively.

    • Provide clear personnel development plans and targets to ensure the highest level of motivation and passion of project teams.

    • Assist the Country Director in ensuring staff job descriptions deliver the organizational strategic objectives, and personal / professional objectives.

    • Conduct annual appraisals based on personal objectives and targets for all project staff in consultation with the Country Director.

    General

    • Contribute to monitoring and sharing donor trends.

    • Contribute to the development of organizational plans and strategy.

    • Represent PFZ at meetings, events and other networks as appropriate and in consultation with the Country Director and CEO.

    • Undertake or participate in other organizational projects as requested by the Country Director and CEO.

    • Contribute to the work of other colleagues in communications and relationship building, including the provision of information and engagement with social media.

    • Must have strong computer skills and understanding of new ICT trends that promote efficiency in implementing projects.

    Job Education Requirements:

  • An appropriate degree level qualification in a relevant discipline, such as Public Health, Community Development, Social Sciences, Social Work, NGO Management, Sport for Development or equivalent

    Job Experience Requirements: 3 years
