Palladium is looking for qualified candidates to apply for a position of the Manager, Human Resources, Kenya. Please find the following job description for the detailed role and responsibilities of the Manager, Human Resources.

The Manager, Human Resources, Kenya, serves as part of the Kenya Hub Office Leadership team in Nairobi, Kenya. This position is responsible under the leadership of the Kenya Country Director for the management and support of human resources functions for The Palladium Group's projects and activities in Kenya. The Manager, Human Resources, Kenya is responsible for ensuring the company's policies and procedures are properly implemented.

Additionally, the manager will carry out basic HR functions such as: staffing, training and development, employee relations, benefits and compensation, and staff performance excellence. Kenyan candidates are encouraged to apply.

Responsibilities

Recruitment and Staffing

  • Confer with managers and supervisors to identify recruiting needs and job duties, skills and other qualifications required for positions;
  • Collaborate with each project team to develop employment strategies to forecast and support short and long term recruiting needs;
  • Ensure an efficient, effective, timely and thorough recruitment process in compliance with Palladium's policies and standard operating procedures (including complete due diligence and reference checks);
  • Source candidates using LinkedIn, personal network, and review of applicants applying online via all sources
  • Review candidate applications, shortlisting qualified candidates, and recommending candidates for further consideration to project teams;
  • Lead all communications and scheduling discussions with candidates in conjunction with the hiring manager;
  • Use corporate tools to develop and/or recommend questions to be asked to candidates; ensure all questions comply with relevant laws and corporate guidance as applicable

    Training and Orientation

  • Develop and coordinate the overall induction and orientation process for new employees in conjunction with the Country Director and the relevant project Chief of Party (COP);
  • Serve
    as focal point for internal coordination for onboarding new employee, ensuring the selected individual has a desk, clear reporting lines, a job description, and other items expected by new employees to ensure their success in coming to a new company;
  • Serve as the subject matter expert for staff in employment, recruiting, interviewing, to ensure compliance with local labor law;
  • Coordinate the overall induction and orientation process for new employees;
    Conduct exit interviews and coordinate the exit process for all outgoing employees.

    Risk Management

  • Review organizational activities for potential and existing areas of risk exposure and advise management. Make recommendations on insurance coverage to minimize liabilities if applicable and available;
  • Collaborate with external and internal auditors regarding HR issues and ensure they are addressed;
  • Serve as primary point of contact for staff investigations, coordinating the investigation team on staff grievances, disciplinary issues, or whistleblower protection issues;
  • Work with Country Director, supervisors, and HQ HR as needed to decide on disciplinary actions pending investigation results;
  • In collaboration with Security, ensure safety and security procedures, including Occupational Health and Safety (OHS) requirements, are in place and adhered to;
  • Review, revise and communicate the process for implementation of the grievance policy.
  • Advise senior management accordingly.

    Performance Management

  • Coordinate the performance management process, ensuring all supervisors and employees complete steps outlined in Palladium's performance excellence model;
  • Keep calendar of staff anniversaries and performance evaluation due dates and send reminders to staff and supervisors as needed;
  • Ensure 100% compliance of staff in completing performance development plans (PDPs) and key performance indicators (KPIs) as part of the end-of-the-year performance review process;
  • Coordinate coaching sessions between staff and supervisors by sending regular reminders, and providing guidance to supervisors on addressing and documenting performance challenges and successes.

    Business Development / Other

  • Participate in capture planning, providing inputs on operational requirements, including but not limited to the requirements for human resources management, recruitment, and personnel planning;
  • Provide input and support business development of the company as required; and
    Other duties as assigned

    Requirements

    Minimum education and experience required

  • Master's degree in Business Administration, or equivalent degree/s in finance, accounting, commerce, or closely related field.
  • A minimum of 10 years relevant work experience.
  • A minimum of 6 years project management experience with US Government (CDC, Department of State, USAID, etc.) or other donor clients.
  • Experience managing large and complex projects.
  • A minimum of 6 years of people management experience, including setting performance objectives, managing for results, giving and receiving feedback, performance evaluation and mentoring and coaching.

    Key competencies and professional expertise required

  • Formal Human Resources Management training and expertise.
  • Excellent written and verbal communication skills.
  • Financial acumen and the ability to interpret and analyse financial reports.
  • Sound problem solving and decision making skills.
  • Strong management skills with ability to mentor, coach, lead, develop and evaluate staff.
  • Ability to work with a low level of supervision and as a part of a team when required.
