The Role

The main role of the Knowledge Management Officer is to collate, classify, and centrally store in electronic format, all documents, filles and folders relating to Oxfam, HECA Regional Platform legacy and current work on which pieces of evidence include the mapping process.

Specific duties will include:

  • Develop and implement a digital documentation, knowledge management and archiving architecture and system.

  • Collate, classify, and archive electronic data files for HECA Regional Platform.

  • Work closely with Heads of departments, themes, and units to identify, classify, compile and file departmental, thematic, or unit records in an organised, accessible, and useful way.

  • Work closely with the Program Quality and MEAL team to collect, classify and file program development, implementation, monitoring and evaluation reports.

  • Archiving files electronically and arranging them digitally according to the Oxfam nomenclature

  • Transfer all paper files to electronic files.
    Aggregate departmental, thematic, and individual folders box folder into central folders.

  • Apply security and protection standards
    for documents whose disclosure would harm organisational interests, backing up data and updating in line with the data protection policy

  • Archive all documents that are directed to be archived, including deeds, letters, circulars, warnings, employee data and others.

  • Coordinate with all departments at work to archive their files and organize files in an indexed manner.

  • Maintain the confidentiality of the data she/he has access to

    The person

    We are looking for a dynamic and committed individual with the following:

  • A degree in Information and Communications Technology, Information Management, Knowledge Management, Communications, or related field.

  • At least three (3) years’ experience in knowledge management, documentation, communication, network facilitation or related fields.

  • Advanced knowledge of office software packages (MS office), database management, web-based management systems, and IT tools for knowledge management.

  • Track record of developing digital applications and platforms.

  • Highly analytical ability to quickly synthesise information.

  • Strong organisational skills and creativity for developing evidence repositories

  • Ability to multi-task and liaise with multiple stakeholders in various locations.
