Job Title:
  • Accountant

    Job Purpose:

    Responsible for ensuring company receivables and payables/expenses are recorded and reported accurately, timely and in a periodic manner according to the International Financial Reporting Standards (IFRS), OTB’s standards, procedures and client satisfaction.

    Roles & Responsibilities:

  • Provide financial information to management by researching, compiling and analysing accounting data and financial information to prepare reports.
  • Petty cash management & control of all expenses related to the day to day running of the company.
    Obtain validation that there are finances that can be appropriated to every payment.
  • Prepare and process supplier/client invoices and payments by inputting correct information, verifying documentation for accuracy and completeness, and subsequent follow-up to ensure payment of the same.
  • Ensure Withholding tax, PAYE & VAT are filed in a timely and accurate manner before the due dates.
  • Ensure that all invoices are attached to and guided by supporting documentation such as LPO’s.
  • Ensure that client details such as certificates of registration, ITAX, PIN, physical address & contacts are duly captured and registered in the system.
  • Update clients’ statements of accounts and ensure proper allocations.
  • Monitor and maintain proper records of sales invoices, withholding tax certificates, petty cash & other expenditure, and client remittances for all payments to the company.
  • Conduct reconciliation of the company’s statements and annual audits for payables and expenses.
  • Maintain confidentiality and financial security by following internal controls and keeping proper records of all financial transactions and other related documents.
  • Closely monitor the cashflow position of the company on a weekly basis and report any issues causing a negative cashflow position to the Finance Manager/Directors.
  • Institute the company’s cost cutting measures by ensuring prudent use of company resources.
  • Suggest ways to reduce costs, enhance revenues and improve profits.
  • Ensure all projects that the company is undertaking are backed by Contracts of award or commitment letters such as Local Purchase orders.
  • Ensure company profit margins are maintained at all times by thorough analysis of supplier quotations vis-a-vis approved LPO’s.
  • Oversee account payable functions such as evaluating supplier quotations, maintaining company credit limits with
    suppliers & payables aging to 45-60 days.
  • Ensure that LPO’s have been duly authorised by the Finance Manager/ Directors before issuance and payments made as per approvals.
  • Aging analysis of receivables from debtors as per company credit limit. This includes follow up on payment progress on amounts outstanding.
  • Monitor creditors aging within the stipulated period of 60 days credit.
  • Record withholding tax amounts withheld by debtors whilst settling payments related to invoices issued; and subsequent follow up with clients where these have not been received.
  • Develop good business relationships with and manage suppliers.
  • Any other duties as may be assigned from time to time.

    Qualifications & Competencies:
  • Bachelor’s Degree in Finance/Accounting or Commerce.
  • CPA (K) or ACCA qualifications desirable.
    3 years’ experience in Accounting/Finance and Auditing.
  • Member of a professional accounting body.
  • Thorough knowledge of basic accounting procedures and principles.
  • Experience in creating financial statements.
  • Experience with general ledger functions and the month-end/year end close process.
  • Commercially astute and insightful with good numerical and analysis skills.
  • Exemplifies accountability and follows through.
  • Strong IT skills and conversant with multiple accounting software packages.
  • Able to handle high levels of pressure and critical decision making.
  • High integrity and openness combined with commitment to good governance.
  • Attention to detail; highly motivated with a passion for excellence and business growth.
  • Ability to successfully collaborate with key agency partners.
  • Good communication, negotiation and relationship building skills.
  • Ability to prioritize, multitask and deliver within tight schedules.
