The Receiving Clerk responsibility is to receive all goods of the hotel ensuring that all deliveries correspond to the purchase order and specifications with regard to quality, quantity, price, etc.
He is also responsible for controlling the goods by issuing goods according to their store requisition. He maintains par stocks and keeps of all documents. He also maintains the storeroom in accordance with standards and rotates stock accordingly. At least two year experience in a similar capacity for a property of similar size.
Knowledge of storekeeping and F&B operations
Basic knowledge of rules & regulations related to store keeping
Customer Service Oriented
Oral and listening skills
Able to work under (time-) pressure
Adaptable to change
Totally in charge of the receiving bay by controlling suppliers movement, movement of materials/items and services to their respective stores.
Coordinating all the other personnel entrusted with the responsibility of receiving of materials.
Ensuring all receiving procedures is followed to the letter based on the recommended conditions.
Ensuring ONLY materials of high quality and quantity are received.
Verifying of date of manufacture and Expiry dates, no wrong packaging, pricing and any form of short deliveries.
To ensure that all the entry points have very strict hygiene measures.
To thoroughly monitor any contamination of foods.
Safeguarding of the receiving stamp.
To ensure that all receiving tools are well maintained, monitored for accuracy and other defects that may affect their normal operations.
Reporting of any material dispute as soon as they occur.
To ensure all KBS stipulated requirements eg. KEBS mark of quality and any other requirement such as storage instructions per item.
Maintain a file of all orders issued to the supplier and waiting deliveries.
Ensure there is no cross contamination at the receiving bay.
The receiving officer shall request the suppliers to provide a delivery note with reference to L.P.O, an invoice to the L.P0, and the copy of the L.P.O.
Giving recommendations on vendor appraisals.
The receiving officer shall book all goods, items or services received without queries into the computer system on daily basis.
Dispatching and processing of all duly signed documents to the accounts department for payments.
Participating on monthly stock counts.
Ensuring that vendors adhere to the set delivery timings.
Any other task as assigned by Purchasing Manager
To participate in any training/development schemes required by management
Participate in the hotel’s social responsibility programmes
To follow the house rules and policies laid down by the management
To comply with company regulations as stipulated in staff handbook, regarding uniform, timekeeping and general conduct.
To comply with any statutory and legal requirement for fire, licensing, health and safety and to ensure that you are working in accordance with these requirements
Required education: Diploma, Associate's degree
Required relevant work experience: 2 years
Required languages: English (Spoken: fluent | Written: fluent)
