Job Description

This position is responsible for payroll management, staff loans administration, medical administration, pension management & general benefits administration.

Payroll processing. (Permanent, Board & DSRs)

  • Ensures that the entire payroll is processed accurately and on time including payment for wages, bonuses, commissions, and other company benefits.
  • Maintains the payroll journal and summaries and ensures disbursements are properly recorded, loan recoveries and other check-off payments.
  • Timely remittance of statutory deductions.
  • Processing of salary advances and staff loans processing.
  • Performs internal payroll audits and prepares documents for various audits and prepares required government reports and drafts responses to related inquiries.
  • Stays abreast of the ever-changing payroll tax laws and ensure compliance.
  • Responsible for the integrity of the staff records in the Human Capital Management System
  • Reconciling payroll related GL accounts
  • Accurate payroll reporting to meet internal and statutory obligations
  • Timely processing of pension (new members into scheme & deductions in payroll).
  • Share payroll reports on monthly basis

    HR System Data Maintenance.(Hsenid & Workday)

  • HC System data review & report generation .
  • Review all employees’ data as captured in the HCMIS is accurate, properly captured and generate all relevant monthly HC Reports*
  • Ensure integrity of HC system data and that the originating documents are properly filed.
  • Ensure security of all HC/Payroll data through enforcement of procedures and standards.

    Pension Administration

  • Building and maintaining relationships with key internal and external stakeholders including scheme administrators.
  • Maintain proper & accurate pension records
  • Ensure new staff are timely placed on pension scheme upon confirmation
  • Ensure timely payments to all exited staff
  • Processing of pension claims for exited staff

    Performance management

  • Ensuring goal setting is done
  • Quarterly reviews/appraisals are done.
  • Analysis of performance and insight drawing.
  • Manage a team and exercise good people management practices, particularly with regard to performance management and career development.
  • Management of PIPS.

    Staff loans processing & Administration

  • Manage the full cycle in processing staff loans
  • Timely feedback to staff in relation to their loan applications.
  • Ensure high level of confidentiality is maintained during the process.
  • Proper tacking of staff loans
  • Prepare monthly & quarterly reports.

    Medical, GPA,GLA,LE Benefits Administration

  • Liaise with staff insurance providers to ensure staff records are up to date and resolve any staff queries and requests regarding these services.
  • Ensure accurate medical records are maintained.
  • Ensure timely
    renewal of staff medical cover.
  • Ensure new staff are timely placed on medical scheme upon confirmation
  • Ensuring exited staff are timely reported to the insurer.
  • Prepare monthly & quarterly reconciliation reports.

    Staff welfare management

  • Lead on the employee relations aspects of proposed changes to welfare benefits and contributions which are needed to support the delivery of the Bank’s business objectives.
  • Contribute to the strategic development of the Human Resource function by developing a progressive, business focused employee relations strategy that meets the current and future needs of the Bank

    Separation & Final Dues :

  • Manage the Staff clearance and ensure due process is followed before payment of final dues.
  • Ensure the separation documents are well filled & archived.
  • Ensure final dues are accurately computed & timely paid.
  • Ensure all the unclaimed dues are reported to the unclaimed assets authority*
  • Prepare monthly & quarterly reports.

    Audit & compliance

  • Ensure that all relevant information is available for the Audit team (e.g. Policies and guidelines).
  • Ensure that Auditors have access to all relevant documents. within the Audit scope. Locate and collate all the requested records and documentation. Ensure that these are up to date and readily available on the day of the Audit
  • Provide the Auditors with a meeting room and access to areas of the facility that will enable worker interviews to be undertaken in a confidential manner.

    HR Analytics & Reporting

  • Serve as the domain expert for human capital analytics.
  • Define and drive framework for people analytics strategy factoring in current and emerging workforce issues
  • Measure the success optimization of the people programs and initiatives (ROI)
  • Provides proactive management support to HR function in the areas of people metrics, reporting, advanced and predictive analytics.

    Education

  • Bachelor Commerce: Human Resource Management (Required)
