Job Description

The Ohio State Global One Health, LLC (GOHi) is an international non-profit non-government organization affiliated with the Ohio State University and its academic initiative registered under the Charity and Society Agency (ChSA) with Certificate of Registration and License No. 3866.

The mission of GOHi is to expand capacity for a One Health approach via applied education, training, research and outreach to more efficiently and effectively address causes and effects of diseases at the interface of humans, animals, plants and the environment.

GOHi works with different national and international academic, research, and regulatory institutes to develop an effective, systems-based and sustainable One Health approach for early detection, prevention, and control of emerging and endemic zoonotic disease and multi-drug resistance (MDR) infections.

Job Summary:

Under the direct supervision of the Operations Manager, the Finance and Administration Assistant is responsible to assist and perform the day-to-day financial and administrative activities in an effective and high quality manner more specifically focusing on accounting, administration, procurement and property administration.

Responsibilities

Finance and Accounting:

  • Assist the day to day accounting activities; properly code and record expenditure, income and any other related transactions in the books of accounts and accounting system.
  • Properly keeps cheque books in safe custody, issue cheque to respective supplier after getting complete approval and verification of the fully documents.
  • Ensure tax and other liabilities are paid out to the relevant authorities on time.
    Assists in preparing bank reconciliation and month end financial reports

    Administration

  • Assists in preparing the employment contracts and other documents related to employment contracts, check contract dates and informs Operations Manager before their expiry date.
  • Assist in creating and maintaining a filing structure for all regional and project staffs, consultants and contractual documents that is transparent and easily accessible way both electronic form and in hard format within their personnel files.
  • Assist in collecting monthly staff Time Sheet from all staff, follow up manage annual leave balance and provide input for payroll preparation.

    Procurement & Logistics

  • Assist the procurement process.
  • Control vehicle management such as log sheets,
    fuel usage, insurance, pertinent reports and related tasks, handle accident reports and oversee the drivers.

    Property & Petty Cash Administration

  • Assists in maintaining of fixed asset and consumable materials register and keep a custodian sheet signed by users for property under their custody.
  • Assists in the proposal and disposal process of damaged, obsolete, expired materials; as per ChSA and donor’s regulation.
  • Maintain inventory records for fixed assets and conduct a yearly physical inventory of fixed assets.
  • Record the inventory on stock reconciliation balance with bin card and conduct periodic physical count.
  • Assist in monitoring the functionality of office equipment, furniture and other facilities and fix timely.
  • Handling petty cash; ensure the availability of adequate petty cash on hand for daily operation of the office, settling and replenishing the petty.

    Other

  • Handle scanning of the original financial documents before to be send to Headquarters.
  • The finance and administration assistant may be required to discharge other duties which are not specifically indicated above but fall under his/her scope of duties and responsibilities.

    Job Requirements
  • BA degree in accounting from accredited institution with 1 – 2 years of experience or
  • BA degree in management with hand on accounting experience
  • Must have local and/or international NGO experience, ability to work with little supervision, under pressure and within a deadline will be encouraged to apply.

    Technical Skills
  • Excellent communication skills in English and Amharic.
  • Proficient in computer skills such as Peachtree, QuickBooks or other accounting software and MS word, Excel and other Microsoft Office programs.
  • Proven organizational skills, attention to detail, and ability to follow-up.
  • Willing to learn.
