Job Purpose Statement

This role is responsible for supporting the management of the premises facilities and construction projects within the set timelines, budget, standards and organizational policies and procedures.

Key Accountabilities (Duties and Responsibilities)

Governance

  • Ensure compliance to policies and procedures -

  • Facilitate and oversee regulatory workplace audits required - Energy Audits, OSHA Audits and annual fire drills.

  • Identify, analyse and minimize exposure and risks by implementing audit safety standards and quality assurance controls.

  • Participate in closure/resolution of all Facilities and Project related audit findings within indicated
    timelines.

  • Ensure 100% compliance with all regulatory
    legislation and Bank’s policies

  • Maintain an audit ready environment for both
    internal and external audits.

    Management Financials

  • Work with Facilities/Project Officer to continuously monitor all facilities and project activities to ensure that budgets are not exceeded

  • Participate in developing and implementing costeffective plans for implementation of facilities maintenance and projects

  • Develop and implement cost reduction initiatives of at least 10% per annum

  • Support in project/facilities accounts reconciliation and project closures and related activities (Defects Liability Period etc.).

  • Support in user training on any equipment installed and ensure smooth settling in the new premises.

  • Manage any identified defects post project
    implementation.

  • Ensures all facilities and projects move-in/move-out paperwork is completed correctly and proper filing done.

  • Undertake any other duty assigned from time to
    time.

    Facilities & Project Contracts

  • Support in the implementation of an effective and continuous contracts execution/renewal program
    as per SLAs and policies and minimize delays in
    execution/renewals for Facilities and Projects

  • Maintain an up to date contracts database for all facilities maintenance and projects.

  • Monitoring Contracts in conjunction with the
    Facilities/Project Support Officer to ensure penalties are effected as appropriate/necessary

  • Support in ensuring timely execution of project contracts and documentation.

  • Support in ensuring that all vendors within facilities and projects are fully prequalified as per Procurement and Vendor Management Policy.

  • Participate in facilities and projects contracts negotiations and execution to ensure regulation, Organizational parameters (legal ,procurement ,financial) and policies are adhered to and met in a cost effective manner

    Facilities & Project Management Reporting/Internal Processes

  • Support the Facilities and Projects Officer in management of all matters in the docket.

  • Keep abreast with latest market trends and
    developments as relates to Facilities and Projects
    Management.

  • Support in all workplace relocations, branch
    openings and space reorganization.

  • Participate in site acquisitions through site
    identification, analysis, and qualification to ensure sites meet Bank’s fit out and user requirements and continuously report progress of the assignments, preliminary findings and difficulties faced if any.

  • Support in ensuring performance of all contractors and review of architectural and engineering drawings to make sure that all requirements, specifications and regulations are being
    followed.

  • Support in design concept development in line with the user needs and space usage, review of
    architectural and engineering drawings and
    associated costs to make sure that all specifications Facilities and Projects Officer are adhered to as per the user expectations and
    approvals.

  • Provide progress reports on all facilities and projects as expected indicating the status and highlighting any challenges that require escalation.

  • Ensuring that all works are being done to the required Bank brand and quality standards, and in
    accordance to the design, specifications, and
    building regulations.

  • Proactively and regularly report critical and
    exceptional Facilities and Projects related
    information to the Property, Facilities and Projects Manager.

    Supplier/ Customer Performance

  • Prepare, implement and participate in
    internal/external stakeholder engagements in
    conjunction with Project / Facilities through
    meetings, customer experience engagements and
    project/branch visits.

  • Manage and mitigate associated risks associated
    with the role to enable the organization meet its
    obligations and maximize business opportunity.

  • Effectively and efficiently deliver practical, timeous and cost effective services that meets business needs and supports improved business performance

  • Support in the receipt of feedback on the service provision of the facilities and projects service providers, and management of the feedback to ensure compliance

  • Build sustainable relationships with all relevant stakeholders in order to secure the necessary customer relationships and benefits

  • Monitor and implement all key related metrics and performance measures and the related actions post review including the delivery and monitoring of SLA’s (internal and external providers).

    Learning and Growth

  • Participate in learning and development activities as expected

  • Work with Facilities and Projects Manager to review individual staff performance to enhance
    productivity.

  • Ensure the Group culture is entrenched in the daily routine of all operations.

    Ideal Job Specifications

    Academic:

  • A Degree in Building/Land Economics, Quantity Surveying or Construction Management or Electrical /Mechanical Engineering or related field.

    Professional:

  • Good understanding of the banking industry

  • Practical experience in use of MS Word, Excel, PowerPoint, Outlook and Internet.

  • Proven Project & Facilities Management experience

  • Experience in Health & Safety matters/ training is an added advantage

    Desired Work Experience:

  • At least five (5) years’ experience in a similar role in the banking industry.
