Position Description

The Project Manager (Patient Support Programs) works within the Health Services team to manage Patient Support Programs (PSP). This position will be responsible for overseeing and coordinating all aspects of the program's implementation and ongoing operations. Your main objective will be to ensure the successful execution of the program, which aims to provide accessible and affordable medication options for eligible patients.

You will collaborate with cross-functional teams, manage stakeholders, and lead the program from initiation to completion, ensuring adherence to timelines, budgets, and quality.

The role entails collaborating with various stakeholders, including healthcare professionals, medical bodies, community organizations, Ministry of Health, among others to ensure a successful implementation of the various aspects of the patient support program.

Key Responsibilities

The roles specific tasks will consist of the following 5 major areas.

Project Planning and Execution:

  • Lead the development of a comprehensive project plan, including objectives, timelines, and resource allocation.

  • Coordinate and oversee all aspects of the PSP, including overseeing the Program Awareness Associates (PAA) engagement plans, following up on potential partnerships, planning and executing community health screening projects, and ensuring adherence to timelines and objectives.

  • Ensure Program are met including Program Awareness Associates targets, screening targets, partnership targets,

  • Identify and engage relevant stakeholders, including medical professionals, community organizations, and the Ministry of Health, to support project implementation.

  • Monitor project progress, identify potential risks or issues, and implement appropriate mitigation strategies.

  • Ensure compliance with relevant regulations, policies, and ethical considerations in the execution of screening programs.

  • Facilitate and/or organize facility engagements and contract signing for PSPs involving the participation of hospitals and external pharmacies.

  • Ensure medication requests and general queries are routed to the appropriate channels

  • Ensure proper tracking and reporting on PSP drug dispensations and notifying relevant responsible parties of low PSP stock levels.

  • Oversee the management of regional holding facilities and the performance of monthly stock and payment reconciliations.

  • Assess feedback from HCPs and patients reported by PAAs to improve delivery of service on the PSP

    Stakeholder Collaboration:

  • Establish and maintain effective communication channels with internal and external stakeholders involved in the execution of the PSP and community health screenings i.e. health care professionals, local county government, Ministry of Health, 3rd party holding facilities .

  • Collaborate with healthcare professionals and community organizations to identify screening needs and develop tailored programs.

  • Coordinate the recruitment, training, and supervision of personnel involved in screening activities including but not limited to nurses, doctors, and registration staff.

  • Foster positive relationships with healthcare professionals, community partners, and sponsors to ensure
    ongoing support and engagement.

    Resource Management:

  • Manage project budgets, ensuring efficient allocation and utilization of available resources.

  • Coordinate logistics, including venue selection, equipment procurement, and supply chain management for screening events.

  • Oversee the maintenance and organization of screening equipment and supplies, ensuring their availability and functionality.

  • Ensuring all pharmacies and partner holding facilities are well stocked with the PSP drugs.

    Data Collection and Analysis:

  • Develop data collection protocols and tools to capture relevant information during screening events.

  • Analyze and interpret screening data to identify trends, patterns, and areas for improvement.

  • Prepare comprehensive reports and presentations summarizing project outcomes and recommendations for future initiatives.

  • Ensure the confidentiality and security of all health information collected during screenings, in compliance with privacy regulations.

  • Analyze data around PSP drug utilization in different regions

  • Keep records of prescribing physicians and specialized clinic days across the various medical facilities.

    Continuous Improvement:

  • Stay informed about current trends, best practices, and advancements in community health screenings,

  • Evaluate the effectiveness and impact of screening programs and recommend enhancements or modifications as needed.

  • Facilitate knowledge sharing and collaboration among team members and stakeholders to foster a culture of continuous improvement.

    Our Ideal Candidate

  • Proven experience in project management, preferably in healthcare or community-based programs.

  • Knowledge of community health screening practices, methodologies, and quality standards.

  • Strong leadership skills with the ability to effectively coordinate and motivate diverse teams.

  • Excellent organizational and time management abilities, with a keen attention to detail.

  • Exceptional communication and interpersonal skills to engage and collaborate with stakeholders at all levels.

  • Proficient in data analysis and reporting, using relevant software applications.

  • Familiarity with relevant regulatory requirements and privacy regulations governing health information.

  • Demonstrated ability to work independently, manage competing priorities, and adapt to changing project needs.

    Qualifications

  • A bachelor's degree in a related field (e.g., public health, healthcare management, project management) is required. A Master's degree will be a plus.

  • Must be fluent in English language and Swahili.

  • Must have the legal right to work and live in Kenya.
