Objective of the Assignment
The Assistant Administrative Officer will assist with the implementation of project activities by providing administrative and logistical support to staff in the MEMD PIU. S/he will provide secretarial assistance, and assist with maintaining efficient PIU office operations – copying/filing of documents, managing reports and
resources, scheduling and coordinating meetings/events and administratively supporting the project staff.


Scope of work
The scope of work will include but is not limited to the following:-
  • Support staff in coordinating appointments, scheduling and managing meeting calendars and taking minutes accordingly;
  • Compile, submit and track documentation through process streams;
  • Assist with drafting of documents and providing support in compiling periodical report data;
  • Perform general clerical duties including, but not limited to, printing, copying, binding, scanning and digitizing office documents;
  • Manage inventory and maintenance of physical and digital files; Coordinate and manage all official travel arrangements for staff;
  • Requisition and manage distribution of office stationery and other materials;
  • Provide administrative and logistical support related to the procurement, custody and delivery of goods and services;
  • Perform any other duties that may be assigned by the Project Manager, Grid Expansion Manager and Connections Manager provided these duties contribute to achieving the development objectives of the EASP project.


    Person Specifications
    Qualifications
  • Bachelor’s Degree in Business Administration/ Social Sciences/ Development Studies/ Human Resources Management or any other related field from a recognized training institution.


    Experience
  • At least four (4) years of relevant working in government or a reputable organization in the area of administration;
  • Experience working with projects financed by Development Financial Institutions such as the World Bank, ADB, AFD, JICA, China Exim Bank, SIDA, NORAD, KfW, India Exim Bank, Islamic Development Bank or equivalent.

    Reporting Obligations
  • The Assistant Administrative Officer shall report to the Project Manager, PIU.


    Duration of Assignment
  • The assignment shall be for a period of three (3) years, renewable subject to satisfactory performance.


    Duty Station
  • The Assistant Administrative Officer will be based in Kampala and stationed at the MEMD.
