Médecins Sans Frontières (MSF) is an independent international medical humanitarian organization providing assistance to people affected by armed conflicts, epidemics, natural or non-natural disasters or persons excluded from access to health care. The organization has projects in more than 68 countries.

MSF is looking to fill the position of a Logistics Supervisor based in Nairobi. The successful candidate reports to the Logistics Manager.

Objective of the Position:

Supervising the daily logistics activities and providing maintenance to the MSF equipment, facilities and infrastructures, according to MSF standards and protocols in order to maintain the facilities in perfect conditions and collaborate in the development of the mission.

Responsibilities Include, But Are Not Limited to:

  • Fleet Management and Supervision: Ensuring the vehicle fleet maintenance: planning and overseeing timely preventive and curative maintenance of all vehicles according to MSF standards. Supervising the drivers in all their duties ensuring attention to safety and MSF regulations on vehicle handling and good traffic behaviour. Plans for vehicle check-ups and regular services.

  • Facility Management & Asset Inventory: Routinely inspects the premises (Office and houses) to ensure that they are in good working order including organizing scheduled fumigation. Supervision of the coordination maintenance agent to ensure preventative and corrective maintenance of all premises as well as their contents. Responsible for inventory of equipment, furniture and other assets in the premises. Ensures that the Logistics Basics are in place and monitors them regularly.

  • Security & Safety: Regularly verifies the security services provided and promptly report any issues to the Logistics Manager. Follows up on the maintenance of firefighting equipment and ensures that they are sufficiently available and accessible. Prepares incident reports and properly documents any security incidents.

  • Human Resource Management: Participates in the planning and implementation, together with the Logistics Manager, the HR associated processes (recruitment, team management, training, induction, evaluation
    and objetive setting, detection of potential, development and communication) of the staff under his/her responsibiltiy in order to ensure both the sizing and capacity required to correctly perform their activities. Follows on the work planning for his/her team.

  • Logistics administration and reporting: Assists the Logistics Manager with the follow up of the logistics budgets, expenses/realization and the preparation of the monthly cash request. Analyses the monthly utility bills (water, electricity) for all premises and flags and investigates any irregularities, reporting back to the Logistics Manager. Gives input on the annual budget and its revisions. Attends the weekly planning meetings and takes notes/reports whenever necessary.

  • Due to MSF nature of activities, other duties as assigned by the Supervisor like participating in emergency response or logistics support to the other projects if need be

    Requirements:

  • Education: Technical training in Logistics or any other course in a technical family relevant to MSF activities (Water & Sanitation, Mechanics, Electricity, Biomedical, Construction)

  • Knowledge & Experience: Mandatory Minimum previous experience in a similar role of at least 1 year with MSF or 2 years with other NGOs in developing countries in a similar role. Essential Computer Literacy (Excel and Word)

  • : Fluency in English and Kiswahili

  • Competencies: Stress Management, Commitment to MSF principles, Behavioural Flexibility, Results & Quality Orientation, Teamwork & Cooperation.
