This role is a 12 month contract and reports to the Country Manager of Mastercard in our Kenya office. The role will be a split between Executive Assistant and Office Manager. The successful candidate will be required to perform general administrative duties to support day-to-day operations in such areas as telephone coverage, scheduling of meetings, travel arrangements, expense reporting, calendar management, taking and distributing meeting minutes, copying, screening mail, ordering supplies, and maintaining records.

Responsibilities

  • Proactively manage the calendar of the Country Manager, taking into consideration different time zones and culture of a global organization
  • Seamless organization of relevant customer, management and cross functional meetings, providing all necessary support (i.e. IT, catering, etc. as required)
  • Flawless execution of all business travel for the Country Manager, including expense management and travel booking on a timely basis
  • Serve as administrative liaison with others within and outside the company
  • Management of visits by Mastercard seniors to Kenya and Kenyan customers to global destinations, where the Country Manager is involved
  • Manage all contracting, sourcing, finance and vendor relationships in compliance with company policies
  • Manage all items related to and act as a point person for internal and external audits
  • Work on business projects to support the Country manager on an ad hoc basis
  • Must be able to self-direct, self-motivate and work effectively with others at all levels of
    a global organization (i.e. team members, senior leaders, executive management and customers)
  • As the role will involve high-level client contact and may be exposed to sensitive information, both internally and externally, it is important to demonstrate confidentiality, good business judgment and diplomacy
  • Ability to function as a team member in a time-compressed, highly dynamic and ambiguous environment to ensure deliverables are achieved

    Requirements

  • Proficient knowledge of the MS Office Suite, including Excel spread sheets and functions, Word and PowerPoint skills
  • High proficiency in Outlook
  • Attention to detail
  • Excellent written and verbal communication skills
  • Demonstrate ability to manage time and multiple commitments
  • Strong problem solving skills and ability to proactively anticipating solutions
  • Ability to self-motivate and self-direct
  • Positive attitude and strong orientation toward team work
  • Bachelor degree required
