Mary’s Meals Kenya (MMK) operates a Primary School Feeding and Early Childhood Development programme in Kenya.

Applications are invited from suitably qualified and experienced candidates for the following post:

Administration Assistant

Two Positions

Reporting to the HR and Administration Manager, the administration assistants will be responsible for a variety of administrative, logistical and clerical tasks.

Duties of the Administration Assistant include providing support to our managers and employees, assisting in daily office needs and managing our organization’s general administrative activities.

One of the positions will be based in our Eldoret office and the other in the Lodwar office.

The principal duties will include, but will not be confined to, the following:

  • Give administrative support to other departments
    Answer and direct phone calls
  • Organize and schedule appointment
  • Be responsible for general cleanliness and orderliness of the office
  • Take detailed minutes for all relevant meeting e.g. monthly staff meetings
  • Write and distribute email, correspondence memos, letters and forms
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a proper filing system
    Update and maintain office policies and procedures
    Order office supplies and research new deals and suppliers
  • Maintain contact lists
  • Book travel arrangements (including booking of air tickets) for Mary’s Meals Kenya staff and international visitors
  • Provide general support to all MMK visitors
  • Act as the
    point of contact for internal and external stakeholders
  • Any other duties that may be assigned by the line manager

    Minimum Requirements

  • Diploma or higher qualifications in a business-related discipline
  • Fluency in spoken and written English.
  • 2 years’ work experience in a similar position preferably with an international NGO.
  • Familiarity with Microsoft Word and Excel.
  • A flexible and innovative approach to work
