Job Purpose
The Supplies Officer is responsible for efficient receipt, storage, inventory management, and distribution of medical and non‑medical supplies within the hospital.
The role ensures continuous availability of required items, accurate inventory records, proper stock control, and compliance with established supply chain procedures.
Key Duties and Responsibilities
Receive, inspect, and verify supplies delivered to the hospital against purchase orders and quality requirements.
Maintain accurate records of stock receipts, issuances, transfers, and balances.
Issue supplies to departments in a timely manner with proper documentation and authorization.
Monitor stock levels and initiate replenishment requests to prevent stock‑outs.
Ensure proper storage, handling, and organization of supplies in line with standards.
Conduct routine stock counts, inventory reconciliations, and periodic audits.
Monitor expiry dates and stock movement to minimize losses from expired, damaged, or obsolete items.
Maintain inventory records within the hospital’s inventory management system.
Prepare inventory reports and provide stock status updates to management.
Investigate stock discrepancies and implement corrective actions.
Ensure cleanliness, orderliness, and security of stores and storage areas.
Collaborate with procurement and user departments to support efficient supply chain operations.
Requirements
Qualifications and Experience
Bachelor’s Degree in Procurement & Supply Chain Management, Logistics, Business Administration, Commerce, or related field.
Professional qualification in Procurement & Supply Chain Management preferred.
Minimum 3 years’ experience in stores management, inventory control, supplies management, or logistics operations.
Experience in healthcare institutions, pharmacy stores, or similar environments preferred.
Demonstrated experience in inventory management systems and stock control processes.
Knowledge of inventory management principles and warehouse operations.
Required Skills and Competencies
