Kika Lodge in Gilgil is an exclusive wilderness resort in the heart of Kenya's Rift Valley with spectacular views of the hills and Instagram-ready sunsets that give way to silent nights.

We are looking for an individual to be placed at the Front Office Desk as a receptionist.

Minimum Requirements

  • Experience working in a lodge in a remote area.
  • Experience working in a major national park.
  • Diploma in Hotel Management/Front Office Operations.
  • Good Communication skills.
  • Proficiency in Excel and Word.
  • Presentable, well-spoken individual.
  • Pleasant and outgoing personality.
  • Mature & Customer focused.
  • Excellent grooming skills and must be well versed in professional and personal etiquette.
  • Fluent speech skills.

    Job Specification
  • To be the initial point of contact between the hotel and clients
  • To handle correspondence between clients and hotels both through email and phone call management.
  • To consistently work on delivering excellent client service and endeavour to work towards customer satisfaction by taking note of, processing and implementing customer requests.
  • To create awareness concerning hotel services and marketing of hotels cutting edge facilities.
  • To be accountable for point-of-entry payments made by clients on arrival and ensure that proper bookkeeping is done on the same.
  • To liaise with housekeeping to ensure accurate records of guests leaving and entering the facility.

    Responsibilities
  • Check in the arriving guest and check out the departing guests in a friendly and caring manner
  • Upon check-in, register guest and assign rooms.
  • To be aware of room availability, room occupancy and take reservations where necessary,
  • Accommodate special requests whenever possible.
  • Use selling techniques to sell rooms and to promote other services of the hotel and knows the selling status, rates, and benefits of all packages plans.
  • Processes reservations by mail, telephone, telex, cable, fax or central reservation systems referral.
  • Processes reservations from the sales office, other hotel departments, and travel agents.
  • Receive payment from guests and verify the guest’s method of payment and follow established credit-checking procedures or refer cash handling payment to cashiers.
  • To promote Resort facilities, Food and Beverage Outlets, Conference and banqueting, business centre,
    maximizing internal sales.
  • Attending to calls, both internal and external as per the set brand standards.
  • Upon the departure of guests, process the guest check out procedures.
  • Handle all front office cashiers’ transactions such as posting charges to guests and exchanging foreign currency according to the procedures.
  • At the end of the shift, balance their cash float.
  • Answer all guest requests and questions in a friendly and caring manner, whether by telephone or in person, provide/receive information and takes appropriate actions or refer the matters to the relevant persons to handle.
  • Coordinate room status updates with the housekeeping department by notifying them of late check-outs, early check-ins and special requests.
  • Ensure that the housekeeping is furnished with detailed information and requests on the expected arrivals of the day including specific services required of them e.g. Twin/Extra beds and VIPs expected
  • Keep themselves informed of product and service knowledge as well as the hotel daily and meeting activities.
  • To promote a helpful, caring and professional image to guests and staff at all times.
  • Perform other tasks assigned within the scope of your duty.
  • Possess a working knowledge of the room reservation procedures.
  • Keep alert for guests leaving the hotel, especially for comments which could be useful in evaluating the performance of the hotel both favourable and unfavourable.
  • Additional responsibilities and tasks can be added at any time according to the needs of the business and of the hotel.
  • To greet and welcome all guests warmly and sincerely in a friendly manner and address them by name at all times whenever possible.
