Kenya Tea Development Agency Executive Assistant Jobs;Provide high‑level administrative and functional support in the office of the Group Company Secretary. Perform clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, scheduling meetings, and supervising clerical staff.
Duties & Responsibilities
Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
Conserve Group Company Secretary’s time by routing correspondence, drafting letters, collecting and analysing information, and initiating telecommunications.
Conduct research, prepare statistical reports, and handle information requests.
Manage the office administratively and liaise with other departments for effective functioning.
Maintain executive’s appointment schedule by planning and scheduling meetings, conferences, and travel.
Welcome guests and customers, answer or direct inquiries.
Maintain customer confidence and protect operations by keeping information confidential.
Follow up on issues and send reminders.
Prepare reports by collecting and analysing information.
Compile agenda and make arrangements for committee, board, and other meetings.
Secure information by completing database backups.
Ensure security of documentation and instruments within custody.
Manage and maintain executive schedules.
Provide historical reference by developing filing and retrieval systems and recording meeting discussions.
Maintain office supplies
inventory by checking stock, anticipating needs, evaluating products, placing orders, and verifying receipt.
Qualifications / Skills / Experience
Bachelor’s degree in Business, Social Sciences, or related field.
Minimum of 5 years’ relevant experience.
High integrity and ethical practice.
Ability to work independently with minimal supervision.
Team player with cordial collaboration skills.
Ability to multitask and commit to operational effectiveness.
Strong problem‑solving skills with relevant business knowledge.
Professional expertise in administrative support.
Strong written and oral communication skills.
Ability to work under pressure and flexible hours.
Proficiency in MS Office packages.
