Responsibilities

  • Receive, sort, print, dispatch physical and electronic correspondence to the respective officers for action and feedback
  • Draft routine responses to various correspondences and draft letters for the
  • Assistant Director’s signature
  • Scan, photocopy and print various documents for onward transmission to relevant officers for action.
  • Prepare PowerPoint presentations for Assistant Director
  • Receive, make and redirect calls both internal and external for effective and efficient communication
  • Make requisitions for office consumables for daily use and for facilitation of meetings and ensure that office requirements are provided for in good time
  • Receive, attend to and redirect clients’ enquiries and complaints to relevant divisions for assistance and complaint resolution
  • Maintain and manage the office diary to enable smooth running of the divisional activities
  • Make local and overseas travel and accommodation arrangement in liaison with procurement office to ensure that the Assistant Director is not inconvenienced
  • Prepare notices and agenda for divisional meetings and distribute in good time to participants to enable them prepare adequately for the meeting thus ensuring effective meeting
  • Supervise and guide support staff assigned to the office to ensure and maintain cleanliness at all times as well as efficient movement of documents from the office to the respective officers for action.
  • Manage office protocol and etiquette so as to maintain proper procedures and common purpose of the division
  • Manage security and integrity of documents and office information to ensure confidentiality in the organization.

    Qualifications

  • Bachelor’s Degree in Secretarial Studies/Bachelors of Business /office management/social science or equivalent from a recognized institution.
  • Stage III (KNEC) in Secretarial Studies (Diploma Equivalent)
  • Ability to work under pressure, Supervisory skills, Problem solving skills.Compliance with Chapter 6 of the Constitution
  • Served as a Personal Secretary for a minimum period of three (3) years or a similar position in a recognized institution

    Responsibilities

  • Assist in implementation of the Institute’s annual marketing strategies by liaising with internal stakeholders by collecting and organizing information for input into the strategies that guide operations of the Unit for alignment with the general focus of the Institute
  • Assist in implementation of the Units annual marketing plan by providing input on marketing needs and current market trends to ensure proper planning and attaining of set goals and targets.
  • Participate in marketing promotional activities, exhibitions, and trade fairs to promote the Institutes products and services.
  • Assist in development and review of pricing strategies for the Institute by benchmarking with competing brands and analyzing the market to ensure that products and services are appropriately valued to promote customer satisfaction and ensure customer retention
  • Assist in research and analysis of the market, competitor trends, demographics, and other information that affects marketing strategies to provide insightful understanding of the market environment to ensure that the Institutes products and services are in line with market trends
  • Analyze research findings to guide the Chief Marketing Officer regarding upcoming markets, new products and/or services in order to develop effective strategies geared towards acquiring and maintaining market niches.
  • Identify areas for improvement in product and service offerings, sales tactics, marketing strategy, and promotional activities through reviewing current product and service market status and departmental operations to ensure that the Institutes products and services are in line with the customer expectations
  • Adopt prescribed procedures to undertake customer complaints handling by solving and escalating issues raised in complaints for the purposes of promoting customer satisfaction.
  • Assist in identifying target markets by analyzing market trends to ensure that the Institute offers its products and services to the desired customer base.
  • Evaluate the effectiveness of marketing activities through adoption of monitoring and evaluation strategies to ensure that
    the Units activities are aligned with the overall goal of the organization
  • Conduct periodic capture and analysis of client information through the use of available data capture instruments to enable the Institution monitors, aligns, and realign its objectives with those of the customer needs.
  • Liaise with internal and external stakeholders to assist in the development of effective packaging and branding strategies for the Institutes products and services.
  • Give input for creation of marketing campaigns by liaising with Chief and Senior Marketing Officers to ensure campaigns are effective and target the intended market.
  • Bachelor of Commerce degree (marketing option) or its equivalent from a recognized Institution.
    Diploma in Marketing or its equivalent from a recognized Institution
  • Computer literacy, Statistical or qualitative software packages and Presentation Skills.
    Communication skills and Interpersonal skills.
  • 3 Years’ Experience in marketing
    Compliance with chapter six (6) of the constitution of Kenya 2010.

    Qualifications

  • Bachelor of Commerce degree (marketing option) or its equivalent from a recognized Institution.

    Responsibilities

  • Develop and implement annual Public Relations and Communication Policy and Strategy for the institute by liaising with stakeholders and reviewing existing policies and strategies to guide the Communication framework hence improving the image of the Institute
  • Manage and coordinate the Institutes media processes including press briefs, press releases and publications to be disseminated to the public
    Manage communication between the Institute and its stakeholders through social media channels and the Institutes website for effective and efficient information flow
  • Coordinate and manage interactive public functions and events through participation in trade fairs, shows, open days and exhibitions to promote and publicize activities of the institute
  • Develop and implement the Institute’s Citizens Service Delivery Charter by reviewing on annual basis by liaising with other Departments,
  • Divisions and Centres of the Institute to ensure that the Institutes clients have accurate and up to dated information on the services we offer and on their obligations
  • Prepare and manage the units Annual Workplans and Budgets by planning for the activities to be carried out in the year and reviewing them weekly, monthly and quarterly to ensure that all planned for activities are implemented during the year
  • Develop and Implement branding and communication guidelines for the Institute as a Vision 2030 Flagship Project, by internalizing the branding and communication guidelines of the Vision 2030 Delivery Secretariat and incorporating them as required to enhance the National Identification of KIRDI as a key contributor to the achievement of the Vision as well as entrench the spirit and the culture of the Vision in all aspects of the organization
  • Create awareness of the Institute’s activities and programmes on a regular basis by developing communication material and disseminating to relevant stakeholders through mass media to enhance the corporate image of the Institute
  • Liaise with stakeholders on a regular basis by acting as the first point of contact with the institute to provide the relevant link with personnel or officers in the Institute

    Qualifications

  • Bachelor’s Degree in Communication/Journalism/ Public Relations/ International relations or its equivalent from a recognized institution;
  • Advanced Computer Application skills;
  • Excellent Written and oral Communication skills
  • 3 Years’ experience and have good personal relations skills
  • Excellent organizational skills
  • Good Presentation skills
  • Compliance with Chapter Six (6) of the Constitution
