Responsibilities

  • Review of departmental reports for adequacy and accuracy in order ensure they meet professional standards before they are presented to Senior Management for action.
  • Analyze and interpret data to support strategy, planning, monitoring, evaluation and performance management processes in order to ensure decisions are based on facts
  • Prepare performance management, monitoring and evaluation and other necessary reports in order to ensure structured communication and documentation.
  • Provide inputs for the preparation of the sectional work plans and budgets through liaising with the Senior Planning Officer in order to ensure smooth running of the section’s activities
  • Provide technical support to departments during the preparation and implementation of strategic plan, annual work plans and budgets, monitoring and evaluation to ensure sound professional practices are followed
  • Disseminate strategic planning, monitoring and evaluation and performance management information to staff members in order to ensure timely and effective necessary actions
  • Provide technical inputs during the preparation of programmes and projects concepts notes and proposals through consultation with the staff members in order to enhance the technical expertise

    Requirements

  • Bachelor’s Degree with Minimum Second Class (Upper Division) in Science or Arts in any of the following Disciplines; Economics, Economics and Mathematics, Economics and Statistics or its equivalent from a recognized Institution.
  • 3 Years’ Experience in Planning/Project Management/ Monitoring and Evaluation
    Computer Application Skills and Statistical or qualitative software
  • Communication skills, Interpersonal skills, Organizational skills, Team building skills,
  • Problem solving skills and conflict management skills
  • Compliance with Chapter six of the constitution

    Kenya Industrial Research and Development Institute Quality Assurance Officer Jobs in Kenya

    Responsibilities:

  • Monitor the quality of the Institute’s products, services, processes and procedures against set internal and international standards through physical observation, review of records and documents, use of laboratory reports, interviews etc. in order to ensure delivery of quality services to customers and other stakeholders.
  • Play part in the implementation and continuous review of the Institute’s quality management system processes and procedures through the involvement of all the Institute’s Department/
    Functional areas in order to ensure compliance with the requirements of Quality Policy.
    Assist in the documentation of the Institute’s
  • Quality Management System Procedures and Processes by liaising with staff from all departments in order to ensure all the Institute’s operations are incorporated in the Quality Management System
  • Identify and control critical institutional quality bottlenecks that may compromise efficient operation of established processes and procedures by carrying out regular quality surveillance audits in order to deter the occurrence of systems breakdown.
  • Prepare monthly and Quarterly reports for the Chief Quality Assurance Officer on the performance of quality management system and any other needs through continuous monitoring and Improvement of the quality management system to make recommendations for improvement.
  • Undertake follow up of customer’s complaints and complements on quality matters by registering the raised complaints/complements and ensuring they are addressed effectively in order to ensure the Institute’s services meet customer expectation
    Undertake follow ups of internal quality audits to ensure they are undertaken as planned in order to ensure the quality management system is efficient and effective.
  • Monitor the Corrective Actions on quality matters by registering and carrying out follow up on all corrective actions raised in order
    to ensure compliance to set standards

    Requirements

  • Bachelor’s Degree in Applied Sciences from a recognized Institution
  • Certificate Course in Internal Quality Audit or Corporate Governance from a recognized institution
  • 3 Years’ Experience in Quality Assurance/Project Management/Performance Management

    Responsibilities

  • Ensure efficient and effective communication between the Director’s office, our parent
  • Ministry, other government agencies and the general public
  • Prepare logistical support to host the many visitors and callers to Director’s office
  • Maintain etiquette and protocol in the Director’s office
  • Receive, read, analyse, sort, incoming mails, redirecting them and responding to the routine ones in the Director’s Office
  • Draft communication for Director’s signature
  • Follow up and coordinate with various government departments for approvals/action items correspondences
  • Prepare office budget for smooth running of the Director’s office
  • Plan and organize meetings, take down minutes and circulate the same
  • Ensure harmony/effectiveness in operations between the Director’s office and all the other functions of the Institute
  • Maintain Director’s diary/calendar of activities and manage the schedule of meeting for the office.
  • Handle Director’s office petty cash float and reconciliation of the same
  • Keep real-time stocks for the Director’s office on all office consumables and ensure replenishment
  • Manage and facilitate effective information flow to and from the Directors office - both internally and externally.
  • Follow-up on action tasks for the Director by other departments
  • Allocate and supervise duties to the senior support staff to ensure smooth running of the Director’s office
  • Assign duties to the Director’s driver to ensure Director is punctual for meetings and other important assignments
  • Maintain proper and effective filing system for security of correspondence and quick retrieval
  • Handle customer enquiries – physical, telephone and emails in line with the service charter for enhanced customer service leading to customer satisfaction

    Qualifications

  • Bachelor’s degree in Secretarial Studies, Business Administration/Social Sciences from a recognized Institution
  • Stage III (KNEC) in Secretarial Studies (Diploma Equivalent)
  • Must have attended an Executive Secretarial
  • Management Course from a recognized institution
