Background

  • The Wits Reproductive Health and HIV Institute (Wits RHI) is a renowned African-led research institute that seeks solutions to Africa’s health challenges.

  • It is located within the University of the Witwatersrand and addresses some of the greatest public health concerns affecting our region, including HIV and its related problems, sexual and reproductive health and vaccinology.

  • This is done through pioneering, multi-disciplinary research; responsive technical support and innovation in health services; and evidence-based policy development and advocacy with national, regional and global stakeholders.

    Main purpose of the job

  • To direct and coordinate Wits RHI – Shandukani Research project administration and related operational activities.

    Location

  • Wits RHI – Shandukani Centre - Hillbrow

    Key Performance Areas:

  • Manage access control system for Shandukani safety.

  • Receive visitors into the SRC research centre.

  • Awareness and adherence to relevant policies/guidelines related to the effective functioning of the organisation’s research administration and facilities.

  • Coordinate and oversee the procurement process by liaising with relevant stakeholders (Project managers/coordinators)

  • Identify priority items for procurement,
    Initiate P2P, obtain authorisation, and submit order to suppliers

  • Receive, sign and distribute procured items to relevant staff

  • Receive and direct telephone calls and scanning to relevant staff

  • Receive and direct letters and other hardcopy bulk mails to relevant staff and update SRC Centre Contact List.

  • Disseminate information to staff and team members.

  • Welcome, identify participants’ needs and direct to specific projects

  • Verbal Consent, Check co-enrolment status and capture

  • Register participant on the board/queuing system

  • Confirm ID and PTID number with Calendar and SC

  • Provide participant with information as needed

  • Verify and Identify ID documents; copy, certify and file all ID documents and update locator information
    as needed.

  • Ensure urine specimen bottle/bloods are dropped at the lab.

  • Escort participants where necessary

  • Reimburse participants on FNB eWallet system

  • Reconcile financial statement with WHC finance clerk.

  • Reconcile reimbursements with Milestone Visits monthly

  • Log a call for bottles of refill water & switch off / on TV and Gas heater

  • Printing, Binding and laminating.

  • Arrange or Set up chairs if there’s any events

  • Issue gift items and certificates to participants

  • Liaise between the institution and external contacts for IT-follow up for logged calls, new starter, computer configuration, telephone pin code, telephone name changes, network or cable point, waste management companies, printing machine companies’ issues.

  • Take ownership and accountability for tasks and demonstrate effective self-management.

  • Follow through to ensure that quality and productivity standards of own work are consistently and accurately maintained.

  • Maintain a positive attitude and respond openly to feedback.

  • Facilities- logging calls for any issues for maintenance, air cons, vents, and assets.

  • Perform and facilitate performance development and assessments.

    Required Minimum Education and Training:

  • Grade 12.

  • A relevant qualification in Business of Administration or Accounting

    Required Minimum Work Experience:

  • Minimum 3 years’ experience in research and/or administration.

    Desirable additional education, work experience and personal abilities:

  • Trained in GCP. Experience working in a donor funded organisation or NGO.

  • Exceptional organizational and administrative skills with working knowledge of Microsoft Office.

  • Able to maintain confidentiality, tact and professionalism at all times.

  • Able to exercise discretion, high levels of initiative and independent decision-making.

  • Must be assertive, confident and adaptable.

  • Self-motivated, able to work independently and work as part of a multidisciplinary team.
