Job Description

  • JICA EthioRice 2 Project is seeking hardworking and energetic applicants for the position of "Project Assistant (Administration) who works in Woreta/Fogera.

  • (*Project for Capacity Development to Transfer the Technology for Increasing Rice Production)

    Duties

    Finance

  • Manage accounting documents in accordance with JICA regulations.

    Purchase/Procurement

  • Coordinate the Project member well and prepare a specification of the items needed to be purchased (such as function, size, materials, colors, deadline of delivery dates)

  • Request and obtain 3 quotations from various suppliers randomly.

  • Prepare a “comparison sheet” of 3 quotations to decide the best suitable supplier.

  • Follow up the supplier until completion of delivery.

    Personnel and vehicle management

  • Check the in/out time of the project-employed staff based in Bahir Dar and Woreta

  • Monitor staff in Bahir Dar and Woreta are at work properly

  • Visit and settle tax/insurance payment for all the project staff at the end of every month

  • Monitor the in/out time of the driver and the Vehicle and also the mileage and fuel consumption regularly.

  • Keep personnel/vehicle-related documents in the designated files properly for future reference.

    Assistance for Japanese Advisors

  • Upon receiving the visiting schedules, inform Ethiopian Researchers/Organizations concerned, and also make hotel/shuttle/airline bookings.
    A
  • ccompany Japanese Advisors in Bahir Dar/Fogera and other Cities/Towns to logistically support their cooperation activities and provide Amharic-English/English-Amharic translation when requested and necessary

    Public Relations and organizing events

  • When the Project conducts special events, such as Training/Extension activities, technical/ managerial meetings and conferences, support Japanese Advisors to prepare for the events logistically (booking of venue, documentation
    etc.) and invite media (TV, Newspapers, Radio etc.) to publicize the events. Provide Translation service during events when necessary.

    Other matters

  • Any other tasks requested by the Japanese Advisors and other Project staff.

    Job Requirements

    Qualification Required:

  • University degree or its equivalent in Agriculture, Civil Engineering or Mechanical Engineering, or another relevant discipline.

  • Good command of written and spoken English & Amharic is essential. Knowledge of Japanese language is an advantage.

  • Daily transportation between Bahir Dar and Fogera/Woreta by project vehicle is provided.
    (Bahir Dar Resident is preferable since Housing & relocation allowance are not provided.)

  • Business trips within Amhara or other Regions are also required.

  • Age: Below 28 Years old

    Experience Required:

  • At least 2-3 years of professional experience in Agriculture, Civil Engineering, Mechanical Engineering or Public relations

  • Previous working experience as a secretary/ assistant for Government, International organizations or Private Service Industries
