    Summary Scope of Work

    Office clerk has primary responsibility to prepare meals for staff and guests. He/She will report to the HR & Operations Director and support clerical activities of the operation department.

    Reporting Structure:

    Responsibilities (include Leadership, Business Development, and Knowledge Management):

    All staff members of Jhpiego, regardless of the level of their responsibilities are expected to:

  • Model the mission and values stated above.

  • Actively participate in the knowledge sharing and transfer process.
  • Make responsible decisions that result in both time and cost containment.

    Result Areas

  • Prepares regular food (lunch) for Jhpiego staff, guests and some selected events. Total number of staff to be served is around 70.
  • Produce menu on a monthly basis in consultation with immediate supervisor and prepare meal consistently according to agreed menu.
  • Take inventory of supply on hand and order, ingredients, produce, supply and other consumables on regular as determined by menu and estimated number of meals.
  • Purchase food and expendable supplies for food preparation within a reasonable and allocated weekly budget.
  • Maintain purchase records for food supplies and request reimbursement from the immediate supervisor on timely basis.
  • Cleans and sanitize all food preparation equipment and ensure that
    it is kept in safe and operable condition.
  • Working closely with a clean and reliable vendor to ensure the quality of the supplied food items
  • Checks station prior to leaving to ensure cleanliness, proper disposal/removal of trash
  • Demonstrate continuous effort to improve operations, decrease turnaround time, streamline work progress and work cooperatively and jointly to provide quality service.
  • According to menu be able to prepare food for the following day
  • Develop and maintain excellent relationship with staff.
  • Should work hand in hand with the immediate supervisor in managing the day to day canteen service and facilitation of other events.
  • Provide clerical support for operations team like filing, mailing, scanning, faxing and copying.
  • Perform data entry as required by operations staff.

    Job Requirements

    Required Skills and Abilities:

  • Excellent communication and interpersonal skills to work in a multi-disciplinary team.
  • Basic computer Knowledge is preferable.
  • Ability to communicate with Jhpiego staff and guests.
  • Ability to work a full 8-hour day

    Required Education and Experience:

  • Completion of Secondary education and/or Certificate in food preparation,
  • About two years’ experience with similar organizations,
  • Experience handling and managing small amount of funds,
  • Proficient in both cultural and European dish preparation,
  • Knowledge of menu preparation,
  • Strong understanding and knowledge of hygiene and sanitation in food preparation,
  • Neat and organized in preparing food.
