International Trade Centre Administrative Assistant Jobs in Kenya;The International Trade Centre (ITC) is seeking an Administrative Assistant to support the Africa Regional Director (East African Community portfolio) in Nairobi. The role provides office management, administrative, HR, finance, and contract support, ensuring smooth operations and effective coordination across ITC’s regional programmes.
Key Responsibilities
Office Management & Administration
Perform full range of office management and administrative support functions.
Maintain liaison with regional office and other units on programmes and administrative matters.
Ensure smooth information flow, prepare confidential documents, and assist in developing office systems.
Draft responses to correspondence and compile background materials for reports and briefs.
Assist with data collection, analysis, and preparation of presentations.
Coordinate meetings, trainings, and events; prepare minutes and monitor follow‑up.
Orient new staff and coordinate office support staff.
Maintain calendars, schedules, and travel arrangements.
Manage office files, rules, regulations, and documentation.
Human Resources Support
Initiate and monitor HR actions, ensuring consistency with regulations.
Maintain and certify administrative data for attendance and performance appraisals.
Review entitlements claims and liaise with central HR services.
Maintain staffing tables and review UMOJA reports.
Budget & Finance
Monitor expenditures and allotments through UMOJA.
Consolidate data and support budget reviews.
Review requisitions for goods/services and availability of funds.
Assist in preparing budget performance submissions and financial reports.
Contract Administration
Support day‑to‑day administration of contracts with external contractors.
Audit invoices against goods/services provided.
Process contractor payments and
monitor status.
Prepare and process UN/ITC forms for staff passes, permits, and access.
Competencies
Professionalism: Broad administrative knowledge, ability to apply UN rules, strong data analysis skills.
Communication: Clear oral/written communication, openness in sharing information.
Teamwork: Collaborative approach, valuing input and supporting group decisions.
Accountability: Ownership of responsibilities, compliance with regulations, and delivery of outputs.
Education
High school diploma or equivalent required.
Qualification in administration, finance, or accounting desirable.
Work Experience
Minimum 5 years’ experience (3 years with university degree) in administration, finance, accounting, audit, or HR required.
3 years supporting senior leadership desirable.
2 years in programme/project administration desirable.
1 year or more in data analytics desirable.
Experience with ERP systems desirable.
Experience in regional/international organizations desirable.
Experience supporting events, meetings, and stakeholder engagements desirable.
Experience drafting corporate documents desirable.
Languages
English required.
French desirable.
