Organizational Context and Scope

  • Under the general supervision of the Procurement and Logistics Officer, and direct supervision of Logistics/Fleet Assistant in the IOM Special Liaison Office in Addis Ababa, the incumbent will be responsible to assist in office premises common service related tasks of the different IOM Offices in Addis Ababa.

    He/ She will particularly be responsible for the following:

    Responsibilities and Accountabilities

  • Monitor maintenance and repair of all IOM office facilities (IOM Main Building, MHAC, TC 1, TC2, IOM Warehouse), including preventive maintenance, and suggest the establishment of maintenance agreements with competent service providers when it is feasible and determined to be cost-effective.

  • Verify all office furniture’s and equipment’s are kept/stored in good conditions and responsible for rearrangement of office layout as needed.

  • Coordinate the work of cleaners in all IOM offices facilities and Cafeteria, ensuring the office facilities are maintained at high levels.

  • In coordination with Procurement and Logistics Assistant, ensure enough stock of office drinking water and initiating timely supply and delivery, including updating the stock card.

  • Assist to prepare PRFs related to office supplies as and when required.

  • Guide and monitor cleaners to take extra care on cleaning office premises due to COVID-19 and disinfectant the main building.

  • Follow up on the timely payment for the utility bill, cleaning and security service.

  • Responsible to assistance organizing the General Maintenance work arrangement need and ensure equipment parts are available for preventative maintenance.

  • Responsible to reporting, maintaining records, copying, posting, testing, detail oriented in the work and other similar duties,

  • Filling the maintenance request in order
    and other documentations for the purchase of spare parts for the maintenance need,

  • Coordinating the work functions with fellow worker and other departments of the organization

  • Coordinate the work of roof top staff cafeteria

  • Manage all issues related to gardening plants in all IOM office in Addis and prepare monthly payment for the gardener’s

  • Distribution of protection materials of Covid-19 for IOM staffs

  • Perform other duties related to asset, logistics and warehousing as needed.

    Job Requirements

    Required Qualifications and Experience

    Education

  • University degree in Purchasing and Supplies Management, Business Management, Management, or related field of study with combination of relevant training and practical experience.

    Experience

  • Four years of progressively responsible professional work experience in managing procurement and logistics activities for Degree holders and six years’ experience for Diploma holders.

  • Experience with UN, International Organizations & NGOs is desirable.

  • Demonstrated ability of working effectively and harmoniously with colleagues from varied culture and professional backgrounds in order to achieve desired goals.

  • Analytical, communication, interpersonal and advocacy skills,

  • Sensitive to and awareness of the local development,

  • Good knowledge of computer management and applications.

    Languages

  • Fluency in English and Amharic is required
