International Organization for Migration Senior Medical Finance & Administrative Associate Jobs in Kenya
Responsibilities
Provide procedural guidance to supervise and train finance and admin support staff
Manage financial resources through monitoring and controlling assets, reserves, funds, and supplies in line with IOM rules and regulations
Guide and assist country offices and sub-regional HAP offices on financial and administrative procedures of GHAP and other Health Assessment programmes
Review and evaluate annual budget requests and revisions from country offices; ensure compliance and provide analysis with recommendations
Monitor country offices’ financial performance monthly/quarterly to ensure compliance with policies and regulations
Conduct yearly monitoring of medical assets, commitments, start-up costs, capacity building, GHAP fees, and triangulation of FTE across programmes
Consolidate data into financial statements and produce monitoring reports to track expenditures against authorized levels
Analyse past trends and current financial data to provide regular and ad hoc financial information for decision-making
Ensure bank reconciliations for IOM accounts are regularly performed and reviewed
Validate salary projectization of MHD Regional staff by checking monthly payroll results
Verify payments in the system are properly authorized and documented (e.g., Telerad transactions)
Assist in responding to audit queries and follow up on audit recommendations
Review and monitor proper maintenance of Vendor Accounts in accounting system
Provide yearly training (webinar or face-to-face) on budget preparation and financial performance reviews
Enhance reporting templates and assist in preparing SOPs, manuals, and invoicing procedures
Perform other related duties as required
Qualifications
Education
Bachelor’s degree in Business Administration, Accounting, Finance, or related field with 4 years’ relevant experience; OR High School diploma with 6 years’ relevant experience
Experience
Ability to work independently, meet deadlines, and pay attention to detail
Team player, able to work under stressful and hardship conditions
Demonstrated ability to maintain accuracy and confidentiality
Prior experience with international humanitarian organizations, NGOs, or government institutions in multicultural settings is an advantage
Strong organizational skills and efficiency
Skills
Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook); SAP experience is an advantage
Knowledge of budgeting, financial analysis, and costing
Ability to set up internal record tracking and planning for accounting and budgeting cycles
Strong interpersonal skills to work effectively with colleagues from diverse cultures and backgrounds
