Job Description

Background

The Institute for Peace and Security Studies (IPSS) is an Institution of higher education with the mission to promote peace and security in Ethiopia and Africa through education, research, and professional development.

The Institute trains skilled professionals in conflict prevention, management and resolution as well as in peacebuilding, and promotes the values of a democratic and peaceful society.

IPSS is seeking a highly organized and motivated individual to participate in an Internship programme in the Institute’s Africa Peace and Security programme Director’s office.

Responsibilities

Under the guidance and supervision of the programme management head, the Intern will:

General Office Duties:

  • Support the coordination of travel of IPSS and APSP Director; arranging registration, ticket, hotel, visa and airport transfer for conference attendances, finalizing travel settlements upon return and filing.
  • Assist the arrangements for internal and external meetings; distributing agenda, taking and circulating minutes.
  • Assist the collection of monthly and
    quarterly reports from all units; sending email requests and reminders, and collating into one overall report to present for editing.
  • Assist in the development of funding proposals.
  • Assist in following up on resource desk requests, guided by the Executive Programme Assistant.
  • Support any tasks assigned by APSP Management Support team.

    Tana Forum:

  • Support the organization of the Tana Board and Technical Committee meetings; assisting in the preparation of agenda and other meeting documentation.
  • Assist in the preparation of Tana Forum invitations; scanning and photocopying relevant documents and maintaining a record of documentation.
  • Support Tana Forum logistical arrangements; assisting in communication, document preparation and other follow-up tasks as assigned.

    Duration: 6 months

    Job Requirements

    Qualifications

  • A Bachelor’s degree in Social Sciences or any other related studies.
  • Good written and verbal communication skills in English.
  • Knowledge of Microsoft office package
    Highly organized, self-motivated, adaptable and flexible
