Infectious Diseases Institute Accounts Assistant – Core Laboratory Jobs in Uganda

Job Summary;

The Accounts Assistant is responsible for timely and accurate processing of
transactions; accounts payable management; classifying, recording and reconciling
transactions in NAV Microsoft Dynamics.

Key Duties and Responsibilities

Financial processes

  • Assist the Accountant to certify that payments are processed on time.
  • Complete weekly journals for posting.
  • File statutory returns on time.
  • Verify the accuracy and authenticity of account-abilities.
  • Identify appropriate general ledger codes for expensive account-abilities in NAV. Correctly apportion approved shared costs to different projects.
  • Assist the Accountant in the preparation of monthly bank and/or mobile money
    reconciliations.
  • Reconcile accounts payable. Obtains vendor statements and compares with NAV
    transactions, identifies errors and passes journal entries for correction.
  • Assist in the issuing and receiving of inventory and completing inventory journals.
  • Perform periodic asset verification, cash counts and stock counts at IDI and/or
    field offices
  • Identify internal controls that require improvement and suggest appropriate policy and procedure modifications for improved internal control.
  • Certify that all financial systems provide adequate audit trail and documentation.
  • Certify that all documents are archived and maintained in a safe and secure manner for the time periods specified by IDI’s policies.
  • Assist the Accountant in obtaining support documents and preparing the different accounts for audit review.
  • Certify that all paperwork is properly archived at the end of each audit.
  • Assist in making orders for supplies
  • Take a lead in managing inventory and stores for the Laboratory
  • Receive and store supplied items and equipment
  • Verify and participate in monthly inventory counts and reconciliations.
  • Maintain administrative documentation in relation to finance and inventory management for the Lab.

    Required Qualifications skills and Attributes
  • A Bachelor’s Degree in Finance/Accounting/Business Administration
  • Work experience in a Laboratory/clinic/hospital is an added advantage
  • At least level I of any Accounting professional course
  • Practical knowledge in any Accounting package preferably NAV MS Dynamics is
    an added advantage
  • At least two years’ work experience in a relevant field
  • Ability to work under minimum supervision and within tight deadlines
  • Excellent oral and written communication skills
  • Good problem solving and interpersonal skills
  • Good team player
  • Proficiency in the use of computers especially Excel Spreadsheets and Word
    processing
