ICRH Receptionist - Office Assistant Jobs in Kenya

Main task & Responsibilities:
  • Undertake switchboard duties by answering, transferring and making calls for staff.
  • Maintain smooth running of the front office by welcoming, guiding and attending to all visitors.
  • Ensure proper functioning of all telephone lines and reporting any faults.
  • Update appointment calendars and schedule meetings/appointments for Nairobi Office Director.
  • Maintain diary for boardroom bookings.
  • Respond to general enquiries from the public
  • Ensure knowledge of staff movements in and out of organization
  • Allocate vehicle for field activities and give monthly reports on the vehicle usage.
  • Monitor visitor access and maintain security awareness
  • Monitor and maintain office equipment and reporting any malfunctioning utility.
  • This includes office lighting, toilet taps, ACs, windows, doors, blinds, work equipment among others.
  • Provide general administrative and clerical support
  • Responsible for the management of incoming and outgoing mails and couriers deliveries.
  • Ensure office is well stocked with essential supplies and kept clean all through.
  • Ensuring that the office spaces as well as the corridors are kept clean at all times.
  • Maintain an up to date contacts database for all staff, suppliers and stakeholders.
  • Write minutes of team meetings/ away days and monitor progress on action
    points.
  • Preparing office tea and ensuring office kitchen is properly cleaned and maintained at all times.
  • Undertake any other responsibilities assigned by the Nairobi Office Director

    Formal Education:
  • Diploma in Business administration
  • Secretarial skills will be an added advantage.
  • Minimum two years of experience.

    Key Personal Attributes
  • Proficient with Microsoft Office – Excel & Outlook a must
  • Good interpersonal and communication skills
  • Good organization skills and attention to detail
  • Ability to be resourceful and proactive in dealing with issues that may arise
  • Ability to organize, multitask, prioritize and work under pressure
