The Administrative Officer will be responsible for supporting all administrative responsibilities within the Geoscience Lab.


Duties and Responsibilities:


Finance Adminstration

  • Provide inputs into the units’ annual plans of work and budget (POWB).
  • Budget management/control of financial flows of the project, constantly monitoring expenses and cash flow
    (final balance and budget analysis).

    Project Administration

  • Work with various units, FSU, Contracts and Grants, Partnership and Legal office to assist with processing of Memoranda of Understanding/Letters of Agreement/Partner Agreements and other contractual matters.
  • Contribute to developing and managing programme work plans and timelines and updating as required on SharePoint for adjustments to priorities and focus.
  • To act as the focal point for the unit, handling internal enquiries for information, questions and queries.
  • Regular engagement with principal investigators or other Scientists to ensure projects remain on track and managing deliverables.
  • Provide logistics and administrative support required for project monitoring and evaluation of project activities.
  • Organize workshops, meetings, events and take minutes of meetings. Prepare and monitor travel cash advance requests for missions to Kenya and abroad.
  • Liaise with research administrative staff and science managers at relevant institutions, securing the necessary inputs into the reporting process and project management.

    General Administration

  • Oversee the procurement of office and scientific
    equipment supplies and maintain the units’ assets portfolios.
  • Liaise with HR on staff and consultancy contract matters, Provide administrative and logistical support to Unit staff, students, consultants and temporary staff.
  • Work closely with protocol office to process visas, customs clearance letters for project staff.
  • Ensure that unit project documents are filed and archived.
  • Identify and mitigate potential risks within the Geoscience Lab, particularly related to project operations and finance.
  • Any other related duties and/or general project administrative support and support to scientists in the team.


    Required Qualification:


  • At least three (3) years’ experience in project management or finance in an international organisation
  • Bachelor of Business Administration/Social Degree or relevant degree.
  • Certified Public Accountant (CPA-K) certificate will be an added advantage
  • Ability to develop budgets and manage finances
  • Highly organized, effective planning and multi-tasking skills with a positive attitude and strong administrative service orientation.
  • Ability to work in a multi-cultural environment
  • Strong interpersonal skills
  • Good understanding of project management
