Duties and Responsibilities:

Project administration, Workshops & Travel

  • Assist in processing memorandum of understanding and sub- agreements.
  • Assist in organizing project workshops/Accounting for workshop expenses and events for TREEs Theme.
  • Assist in coordinating travel requests for unit staff and negotiate for best prices.

    Assist in processing travel expense claims for staff and ensure that:

  • Proper documents are attached
  • The claims are in line with the ICRAF travel policy

    General administration

  • Assist in following up with procurement requests for the unit in liaison with the procurement office.
  • Assist in the preparation of contracts for staff.
  • Assist in planning unit meetings and organize quarterly TREES Theme team meetings, regional focal points meetings and setting up the units’ teleconference and skype calls/taking detailed minutes.
  • Assist in coordinating Laboratory and Nursery visits and hosting visitors and collaborating agencies and facilitating as highly effective and positive
    public relations.
  • Liaise with the project administrator to handle requests and queries from staff.

    Required Qualification:

  • Bachelor’s degree in business administration or related field.
  • At least 3 years’ experience in a demanding office setup

    Required Skills and Competencies:

  • Strong interpersonal skills and good personal organization skills required.
  • Strong communication skills in written and spoken.
  • Ability to solve problems and work in multi-disciplinary and multi-cultural teams.
  • Ability to prioritize/organise work independently, meet deadlines, work under pressure with minimum supervision.
  • Independent decision making, judgement and problem solving
  • Ability to utilize and safeguard project assets, understand institutional policies.
  • Proficiency in MS Office.

  • The appointment will be for an initial period of three (3) years, subject to a six (6) months’ probation period.
