Specific Duties


Administration


  • Maintain schedules and coordinate business travel logistics.
  • Arrange for meetings and take minutes.
  • Coordinate appointment schedules for visitors to ITOC.
  • Facilitate information flow between different Projects and Units.
  • Coordinate appropriate and orderly appointments for the Station Administrative Coordinator.
  • Procure supplies and ensure quality control for the Station supplies.
  • Raise requisitions for Station’s purchases.
  • Maintain up-to-date employee personnel files at ITOC.
  • Receive and distribute incoming mail and process outgoing mail.
  • Follow up with Human Resources Unit on issues such as staff IDs, medical cards, contract renewal letters and any other HR-related matter.
  • Coordinate the induction of new staff and campus-show around.

    Workshop

  • Maintain order re-order levels for workshop supplies and its operations.
  • Ensure proper filing of all the job cards and other general documents.
  • Prepare monthly individual power consumption bills for all tenants.
  • Perform data entry for services rendered and prepare monthly returns.
  • Maintain inventory of supplies
    and make a list of supplies to be ordered for the workshop.
  • Update on weekly facilities tracker records.
  • Perform data entry for services rendered and prepare monthly returns.
  • Prepare correspondence, memos, forms and reports using MS Word.


    Requirements/Qualifications


  • Diploma or higher national diploma in a business-related area.
  • Minimum 2 years’ experience in a busy office environment.


    Core Competencies


  • Strong organisational and administrative skills.
  • Proficient in computer applications, especially MS Word and Excel.

  • Excellent supervisory skills with the ability to work under minimum supervision.

  • High personal integrity and confidence.

    Reporting

    This position reports to the Station Administrative Coordinator.
