  • Our client, an international exporter of FMCG, seeks to hire a competent HR & payroll Officer.

  • Who will be tasked with overall management of the HR Department, Provide human resource (HR) services to the company by supporting the Management on all aspects of the HR function with an emphasis on taking responsibility and ownership on decisions involving employees.

    Key Responsibilities

  • Prepare and maintain employment records related to HR activities both statutory and non-statutory such as recruitment, termination, leave, transfers and promotions.

  • Maintain and update human resources documents, such as the Company Handbook, Code of

  • Conduct and Ethics or performance evaluation forms. Confer with Management to develop, implement and keep up to date relevant HR policies and procedure manuals.

  • Interpret and explain human resources policies, procedures, laws, standards, or regulations to employees as required.

  • Coordinate the management and maintenance of staff contracts, personnel files, and other employee information.

  • Address employee relations issues, such as harassment allegations, work complaints, or other employee concerns and work with the Management to coordinate disciplinary and grievance hearings.

  • Conduct reference and background checks on job applicants.

  • Inform job applicants of details such as duties and responsibilities, compensation, benefits, schedules, working conditions, and / or promotion opportunities.

  • Conduct exit interviews and ensure that necessary employment termination paperwork is completed.

  • Analyse employment-related data and prepare required reports.

  • Maintain knowledge in the company, keeping it up to date with the latest training practices, trends, and technology.

  • Model best practices in HR activities in order to ensure maintenance of employees’ top-notch performance.

  • Assess employees’ skills, performance and productivity to identify areas of improvement to train.

  • Develop the appropriate training approaches to facilitate the training as per the recommended industry standards.

  • Coordinate the NITA application and reimbursement process by making timely and correct applications and reimbursement claims and thereafter preparing relevant reports.

  • Providing support, guidance and counsel to staff at all levels. Ensure open communication channels are
    maintained at all times.

  • Preparation and processing of payroll for employees in the organization on a monthly basis.

  • Preparation and processing of monthly statutory/voluntary deductions for payment.

  • Address and resolve employees’ correspondence relating to the payroll, that is the P9 Forms, Payslips and updating of statutory/voluntary deductions in a timely manner.

  • Collecting daily, weekly, and monthly employee time sheets and calculating employee work hours.

  • On a monthly basis receive all payroll amendments including salary changes, overtime payments, allowances, changes to pension contributions, new recruits, bank account changes, promotions etc. from the supervisors and Management.

  • Check that monthly payroll amendments have been duly authorised by the Management prior to input into the payroll.

  • Provide regular reporting on the performance of assigned roles weekly, monthly and as may be required.

  • Assist with other duties in the HR and Payroll function as and when requested by Management.

    Key Qualifications

  • Bachelor’s Degree in Human Resources Management or related field.

  • Current HR Practitioner of Kenya certified by the Institute of Human Resource Management (IHRM).

  • At least 5 years of relevant generalist HR experience focused on HR and payroll administration in a busy FMCG environment.

  • Must have experience working with Aren payroll system

  • Must be well conversant with the Kenyan labour laws and ethical HR practices.
