Job Purpose:

  • Ensure capturing and documentation of quotes, projects and invoicing in the service department in line with company goals and procedures, and closing of the jobs from customers in line with Hitachi standards for achievement of company objectives.

    Key Responsibilities

    • Ensure Health and Safety standards, regulations and procedures are adhered to at all times.

    • Capture all the costs attached to the Field & Workshop Service jobs.

    • Receive Parts and Service requests from Customers and open projects accordingly

    • Coordinate with SPEs’ and Technicians to generate quotations on received machine reports

    • Receive, analyze and process all orders from Customers facilitating delivery, including inventory allocation, shipment scheduling, and invoicing.

    • Ensure signed Purchase Orders from Customers are invoiced.

    • Ensure Invoiced job are submitted to the Service Manager for closing.

    • Ensure closed jobs for future use and references are filed accordingly.

    • Ensure completed jobs are invoiced accurately and on time.

    • Manage data entry Records in the system.

    • Ensure core assessment reports are sent timely and consistently followed up for feedback.

    • Customer facing to improve our Customer Support.

    • Interact with Customers and work cooperatively with other HCMZ staff.

    • Maintain close contact with Customers regarding immediate and long-term needs to support Production,
    control forecast, and facilitate information flow from Customers.

    • Ensure all Due Diligence for all customers is done accurately.

    Minimum Qualifications and Experience

    • Grade 12 Certificate.

    • Diploma in Business Administration or any Business related course,

    • 2-3 years’ work experience in an Admin Job.

    Competences

    • Proficient in computer (Excel, word and power point).

    • Good interpersonal and communication skills.

    • Advanced knowledge of Construction & Mining Machines & Equipment.

    • Knowledge of Maintenance management.
