Job Description

We are seeking to appoint a full-time Program Manager to be based in Addis Ababa, St. Paul’s Millennium Medical College with a frequent travel to the field sites to support Maternal and Child Health (MCH) research programs.

This is a collaboration between Harvard University and St. Paul’s Millennium Medical College. The post-holder will be responsible for managing study and administrative activities fora MCH surveillance program and MCH research activities.

The post holder will be expected to support the investigating team, lead the office and field activities based on the set direction, recruit and manage field and office staff, maintain accounts, procure equipment, coordinate meetings, prepare reports and work with an international and local team.

St. Paul’s Hospital Millennium Medical College, Addis Ababa, Ethiopia

The Medical School opened in 2007; it is intended to alleviate the severe shortage of medical doctors in the country.

In line with various encouraging efforts performed by the Ethiopian Federal Ministry of Health in this regard, it is clear that the newly opened school, with a practical modular and integrated curriculum will be providing much-needed medical professionals to the people of Ethiopia.

BIRHAN Maternal and Child Morbidity and Mortality Surveillance

The Maternal and Child Morbidity and Mortality Surveillance program is aimed at understanding the causes of maternal and child morbidity and mortality in developing countries, particularly in Ethiopia.

Major responsibilities:

The program manager will be based full-time in Addis Ababa with frequent travel to the field for the leadership, coordination, and supervision of program activities.

The program manager will be responsible for coordinating the various scientific and administrative activities in the establishment and execution of study activities.

The program manager will be expected to: plan and execute the field activities in consultation with the investigators team, manage the budget, recruit staff, procure equipment, coordinate meetings, prepare reports and work with an international and local team.

    Key Responsibilities

  • Manage, coordinate and implement study projects

  • Lead and contribute to the design and execution of project research, draft protocols, and write-up of research results with the highest level of ethical conduct.
  • Oversee project implementation, management, and coordination.
  • Make critical technical and programmatic decisions that will require competency in areas of maternal and child health in communication with PIs.
  • Coordinate key events, trainings, and meetings.
  • Develop and manage study work plans
  • Monitor study progress and data completeness and quality.
  • Develop and implement systems to continuously improve study implementation and data quality.
  • Document key processes, events, and meetings during the course
    of the projects.
  • Manage and organize study documents in dropbox.
  • Review core team performance reports and submit weekly project reports for all studies to the PIs.
  • Provide frequent feedback to team during site visits, training, and from reports to achieve high team performance
  • Develop case report forms.
  • Submit IRB at St. Paul’s.
  • Activities as needed

    Team

    Manage high performing collaborative and working relationships between project Boston staff and project Ethiopia staff, and partner organizations, consultants, trainees, and senior personnel in collaborating governments.
  • Run meetings and facilitate communication of minutes, follow-up on action points.
  • Oversee and delegate work to a diverse team.
  • Participate in staff hires. Recruit administrative staff to the program as needed and manage these staff; Support recruitment processes for clinical, scientific and laboratory staff. Provide orientation to new staff and performance reviews.
  • Recruit, train and build capacity of team members.
  • Meet regularly with individual team members to advise, support projects, problem-solve and track progress.
  • Assess performance quarterly of direct reports and review performance of second line

    Admin

  • Lead the communication with SPHMMC and other government institutions
  • Oversee procurement of equipment and consumables for the program.
  • Manage the program accounts, expenditures, and budgeting.
  • Coordinate team meetings and lead administrative meetings.
  • Prepare reports for local and international use.
  • Manage team manuals and process documents (roles and responsibilities, HR, per diem, communication).
  • Manage research house.
  • Coordinate the office and field team for BIRHAN surveillance site in Chacha, Debre Berhan, Shoa Robit field sites.

    Essential requirements

    Education and Experience:

  • Masters or PhD in Public Health or a health-related field with relevant services and experiences in health related fields.
  • Management experience (in leading, supervision, training, planning)
  • Previous experience in establishing and leading similar longitudinal studies
  • Previous experience of community based research program implementation

    Knowledge:

  • Research management and administration
  • Principles of survey and surveillance
  • Data quality assurance
  • Research ethics

    Ability to:

  • Multi-task and execute with short turnaround time
  • Supervise with data collection teams
  • Build strong relationships with multiple stakeholders - government institutions, academic institutions, NGOs.

    Skills:

  • Must have adequate knowledge on managing a research program and team
  • Leadership and management skills
  • Must possess excellent interpersonal communication skills
  • Data management and analysis

    Desirable requirements

  • Experience in administration research programs or NGOs
  • Good command of Amharic language
