The Organisation

The Global EverGreening Alliance (The Alliance/GEA) is an international NGO which coordinates the development and implementation of large-scale land restoration programs.

Its members include World Vision, CARE International, Oxfam, Catholic Relief Services, Conservation International, The Nature Conservancy, the World Resources Institute and World Agroforestry.

The Alliance was established to create and apply long-term solutions to the global problems of land degradation and climate change.

This is done through a collaborative approach with an emphasis on evergreening practices: regenerative farming that integrates trees into crop and livestock production systems of smallholder farms. In May 2022, the Alliance launched Restore Africa, the largest community-based land restoration program in Africa.

More than 1.8 million hectares of degraded land will be restored through sustainable land management practices in six countries: Kenya, Tanzania, Zambia, Ethiopia, Malawi and Uganda, improving the livelihoods of more than 1.5 million households and sequestering 80M tons of CO2 in the process.

The Restore Africa Program will be implemented by consortia of member organisations across the Africa region and will be coordinated by the Alliance’s Program Coordination Unit in Nairobi, Kenya.

Position Summary

The Alliance is seeking a passionate and motivated Administration and Logistics Officer to support Program Coordination Unit (PCU) staff with all administration and logistics-related tasks. The role will be responsible for procurement and maintenance of office assets.

Providing administrative and logistics support for travel by PCU and GEA staff and for events and workshops, assisting in resolving IT issues for PCU staff as necessary and ensuring the PCU office is safe and secure.

Furthermore, the role will support the Finance Function with basic accounts and bookkeeping, ensuring compliance with policies.

Key Responsibilities and Duties

• Ensuring purchase orders are prepared, properly authorised, and executed on time and in a cost-efficient manner to meet staff’s procurement needs.

• Maintaining and replenishing office stationaries.

• Maintaining office assets in line with the GEA’s policies, ensuring an asset register is in place and updated, and issuing all assets with asset number labels.

• Establishing PCU administrative service protocol in line with GEA’s guidance and constantly reviewing the same.

• Ensuring the PCU calendar is in place and well managed for efficiency, including travel arrangements and logistics.

• Arranging logistics
and administrative requirements for all PCU events on time and within budget.

• Managing petty cash under the guidance of the Finance and Administration Manager.

• Maintaining financial and procurement records securely and ensuring timely audit documentation per the guidance of the Finance and Administration Manager.

• Addressing office rental matters on time under the guidance and support of the Finance and Administration Manager.

• Establishing office security, acting as a point person for emergencies.

Key Selection Criteria

• Bachelor’s degree in business administration or equivalent.

• Experience (at least five years) in supporting a busy/growing office.

• Experience with event planning, travel logistics coordination and calendar management.

• Excellent administrative and customer service skills to build relationships within and outside the organisation.

• Strong independent thinking skills with the ability to work with minimum supervision.

• Strong organisational skills with the ability to work on several tasks simultaneously

• Excellent oral and written communication skills.

• Demonstrated experience in working closely within multidisciplinary teams.

Conditions of Appointment

In addition, the successful applicant will need to provide a recent Police Record Check and either provide or successfully apply for a Working with Children Check card where relevant to the context.
