    The Global Alliance for Improved Nutrition (GAIN) is driven by the vision of a world without malnutrition.

    GAIN is a Swiss based international organization that mobilizes public-private partnerships and provides financial and technical support to deliver nutritious foods to those people most at risk of malnutrition.

    The organization is delivering improved nutrition to an estimated 700 million people in more than 30 countries, half of whom are women and children.

    GAIN fights malnutrition through innovative and sustainable models that increase access to affordable nutritious foods among communities vulnerable to malnutrition.

    In May 2018, GAIN and HarvestPlus announced a partnership to accelerate progress in improving access to essential vitamins and minerals for vulnerable people, through the commercialization of biofortified crops.

    GAIN and HarvestPlus share an ambition to expand coverage of biofortified nutrient dense foods to at least 200 million consumers by 2022. The focus will be on biofortified varieties of six highly promising crops, developed by HarvestPlus and its partners.

    GAIN is seeking a Senior Program Assistant to support an exciting new partnership between the Global Alliance for Improved Nutrition (GAIN) and HarvestPlus, aimed at scaling up the consumption of biofortified foods in India, Pakistan, Bangladesh, Nigeria, Kenya and Tanzania.

    The Program Assistant will provide quality administrative support, play an important role in ensuring the smooth running of the GAIN and HarvestPlus Commercialization of Biofortified Crops Program.

    Description Overall Purpose:

    The Senior Program Assistant, Commercialization of Biofortified Crops will provide administrative support for the GAIN and HarvestPlus Commercializing Biofortified Foods Program.

    Tasks and Responsibilities:

  • Coordinates meetings with Program consultants, partners and international staff.
  • Arranges meeting rooms, drafts and disseminates meeting agendas, prepares briefing notes and where necessary takes meeting minutes which may include preparing and disseminating materials as instructed.
  • Assists in scheduling and planning for events and conference calls, makes recommendations regarding meeting or equipment facilities.
  • Organizes and coordinates meetings and calls including travel and hospitality for meeting attendees.
  • Coordinates domestic and international travel arrangements for GAIN staff working on this partnership, including preparing travel authorizations, processes travel claims and arranges tickets, visas etc.
  • Supports the GAIN Senior Program Manager, Commercialization of Biofortified Crops to collect regular progress updates from Program Associates, Commercialization of Biofortified Crops.
  • Drafts correspondence including reports, contracts, and other administrative documents.
  • Prepares and formats standard contracts and related documents, in strict compliance with the standard contracting process and templates and assists in the preparation of complex contracts.

  • Provides support to program service providers and tracks the submission of deliverables against executed contracts.
  • Supports the review of deliverables as required.
  • Processes payments to consultants and other service providers, ensuring
    compliance with GAIN / HarvestPlus policies and procedures.
  • Works with Finance to ensure all program related expenses are properly coded to ensure the accuracy of financial reporting.
  • Assists the Senior Program Manager in the development of documentation relating to budgets, cost analyses, reports and forecasting.
  • Other duties as required by the Senior Program Manager.

    Key Organizational Relationships
  • The Program Assistant will report directly to the Senior Program Manager, Commercialization of Biofortified Crops.
  • The Program Assistant will work closely with the Program Associates, Commercialization of Biofortified Crops based in other country offices.
  • Works across GAIN and HarvestPlus worldwide to ensure open communication channels, coordinates requests and meetings.
  • Closely liaises with GAIN Finance and HR divisions.
  • External suppliers, stakeholder organizations and respective ministries.

  • Effective oral and written communication skills in an environment requiring diplomacy and good judgment in managing interactions with individuals at all levels inside and outside an organization. Able to prioritize, multi-task, and work well under pressure with frequent deadlines.
  • Reliable and enjoys working in a multi-cultural, cross functional team with flexible and adaptable approach to work.
  • Ability to work without close supervision.
  • Computer literacy with excellent MS Word, MS Excel, Outlook, and PowerPoint skills.
  • Knowledge and familiarity with one or more of the following functional areas: Procurement, travel, communications, accounting, contracts and agreements, nutrition/health science, meetings/conference management, international aid, development Programs or portfolio management.
  • Flexible and adaptable approach to work.
  • Ability to travel on occasion.

    Experience:
  • Minimum 5 years’ experience in an administrative role, preferably with an international NGO working in agriculture and nutrition.
  • Demonstrated excellence in written/verbal communications, research, writing, and analytical ability.
  • Bachelor’s degree in business administration or related field with relevant work experience.
  • Knowledge and familiarity with several of the following functional areas: procurement, travel, communications, accounting, contracts/agreements, nutrition/health science, meeting/conference management, international aid, development programs, or portfolio management.

    Education:
  • Bachelor’s degree in business administration or related field with relevant work experience.
    Other Requirements Professional proficiency in English is required.
