[Purpose of the Job

  • To maintain effective STORE operation of the GIG by administrating the GIG’s warehouses and inventory management system.

    Main Duties and Responsibilities

  • Supervise the operation of warehouses and inventory management.

  • Reconcile regularly balance between inventory records and physical count.

  • Maintain adequate lead time quantity and issue order to the Procurement and Supplies Management Officer.

  • Supervise store operation related documents.

  • Maintain copy of receipt and issue vouchers to Finance Department such as delivery order, transfer sheet and goods receiving notes.

  • Coordinate periodic stock taking and inventory counting.

  • Coordinate purchasing cycle at the appropriate time so that materials required are never out of stock.

  • Prepare periodic report on the warehouse operation, inventory flow and consumption trends.

  • Receive approved supply requisition orders from various work units, prepare them for issuing.

  • Prepare store issue voucher and distribute items to the user organs using the voucher.

  • Dispense or supply requested items to Head Office as
    per requisitions.

  • Complete the purchase/supply requisition form and submit the request for the Procurement and Supplies team.

  • Receive and inspect all purchased items in terms of quality and quantity against the purchase order documents and tracks damages and discrepancies.

  • Maintain the cleanliness and safety of the store areas thereby maintaining a clean and healthy working environment.

  • Update stock records when items are received and issued.

  • Maintain stock level of materials to ensure continuous availability.

  • Maintain and update inventory master list of all assets of the GIG.

  • Prepare sequential tag list and coordinate the tagging process of assets.

  • Collect damaged and used items from all work units and warehouse properly

    Job Requirements

    Qualification and Experience

  • Bachelor’s degree in Procurement and Supply Management or related fields with three (3) years of demonstrated experience

  • TVET Diploma Procurement and Supply Management or related fields with six (3) years of demonstrated experience
