  • G4S has a vacancy for a Procurement Administrator based in Centurion.

  • Reporting to the National Procurement and Logistics Manager, the Procurement Administrator is responsible for ensuring the accurate and timely administration/completion of the procurement process in line with company policies and procedures.

  • The successful incumbent is a self-starter with a proven track record in maintaining company policy, adopting best practices, and is able to exercise sound judgement in the pursuit of the achievement of the goals of the organisation, and understanding the role which support plays within a successful business unit. The incumbent will be expected to be results driven and to live the values of the organisation.

    Role Responsibility:

    Main Purpose of Position:

  • To provide administration and office support within the Procurement Department.

    Key Responsibilities:

    Facilitate and process vendor registration

    Administration of supplier motivations

  • Ensure supplier meets required criteria

  • Ensure branch provides correct supplier documentation

    Approval Process

  • Ensure documents are approved according to the approval process

    System Registration

  • Load vendors onto ERP systems

    Document Management

  • Record all documentation on file (electronic)

    Facilitate vendor credit applications

    Administration of Credit Applications

  • Ensure supplier is registered on system before continuing with credit application

  • Ensure that correct documentation has been provided

    Legal
    Process

  • Facilitate the legal review of documentation

    Approval Process

  • Facilitate process – all documents must be approved according to the approval process

    Finance Process

  • Advise AP of settlement arrangements

    Document Management

  • Record all documentation on file (electronic)

    Facilitate vendor contract process

    Administration of supplier contracts

    Legal Process

  • Facilitate legal review of documentation

  • Keep register of document status

    Approval Process

  • Facilitate approval process - according to approval requirements

    System Uploads

  • Load contracts onto ERP system or Global databases as specified

    Document Management

  • Record all documentation on file (electronic)

    Facilitate BBBEE information recording & update

  • Obtain BBBEE Certificates for all Companies

  • Update BBBEE records for rating purposes

  • Supply monthly BBEEE database report to Procurement Manager

    General Administration

  • Facilitate general supplier administration requirements for Procurement Department

    Minimum Requirements:

  • Grade 12 or equivalent

  • Relevant experience in administration – 1 year’s experience in a related position

    Knowledge, Skills and Attributes:

  • Knowledge of administrative procedures
    MS Office Computer skills – specifically Powerpoint at an advanced level

  • Acting professionally

  • Communication (written and verbal)

  • Supporting and working with others

  • Delivering objectives

  • Minute taking

  • Delivering great customer service

  • Sharing and cooperating

  • Dealing with changing circumstances
