Job Introduction:

G4S Secure Solutions (SA), a leading provider of integrated security management solutions, has a vacancy for a Learning and Development Administrator based at our operations in Centurion reporting to the Head of Learning and Development.

The successful incumbent is a self-starter with a proven track record in maintaining company policy, adopting best practices, and is able to exercise sound judgement in the pursuit of the achievement of the goals of the organisation, and understanding the role which the Learning and Development Administrator plays within a successful business unit. The incumbent will be expected to be results driven and to live the values of the organisation.

The position requires at least 3-5 years’ experience within a similar environment. Relevant industry related experience would be advantageous.

Role Responsibility:

The Provision of Related Administrative Support to the Department

  • Assist Head of Learning and Development with the preparation of the WSP and ATR for SASSETA, TETA and MICT SETA submission.

  • Ensure that all statistics and data provided are accurate for reporting purposes

  • Assist with the preparation of audits such as SETA, EE and BBBEE

  • Co-ordinate external training interventions nationally and ensure the full end to end process is adhered to i.e. ensuring the accreditation of service providers, co-ordination of training programmes and the payment of vendors

  • Daily administration of E-Learning courses, publishing programme implementation and recording attendance through the Learner Management system (SAGE)

  • Prepare training records for ISO sites identified for audit purposes by liaising with the Operations Training

  • Keep learnerships records and documents for reporting purposes (SETA, EE, BEE)

  • Communicate SETA initiatives, grants, and benefits to G4S Employees

  • Assist with preparing the BBBEE audit file for all elements

  • Communicate with the correct party/parties regarding events and grant opportunities available that the organisation can benefit from being offered by L&D

  • Monitor the implementation of WSP initiatives

    Reporting and Data Management

  • Update study contracts and training records using the G4S learner management system and in compliance with SETA, EE and BBBEE reporting.

  • Combine regional data and national data into one learner record management system

  • Compile and distribute training administrative reports(include escalations) on a weekly basis to Head of L&D

  • Support with learners and internship recruitment process

  • Provide Learner / Interns
    with support and coaching to assist with achieving the required programme outcomes

    Training Facilitation

  • Interview employees to assess training needs

  • Contribute into designing training curriculum

  • Organize in-house and offsite activities, like presentations, job simulations and role-playing exercises

  • Manage employees’ profile for e-learning courses

  • Print and Order instructional material (e.g. ebooks and manuals)

  • Discuss career-pathing opportunities with employees

  • Measure outcomes from trainings

  • Calculate and report on training costs

  • Ensure new hires undertake mandatory trainings including health and safety practices

    Health and Safety

  • Participate in the design/ development/ review/ implementation and monitoring of the branch/region/national safety plans for each year.

  • Participate in safety forums created by company for example safety meetings and safety talks

  • Report all safety incidents to the relevant people

  • Discuss all safety incidents on all levels

  • Follow-up on any activities assigned through safety meeting/committee/representative/management

  • Attend safety education and refresher programmes

  • Comply with safety policies and procedures at workplace

  • Distribute safety information as and when required

  • Wear protective clothing all the time

    Qualification and Experience

  • Grade 12 or equivalent

  • With a preferred Skills Development Facilitator Course

  • Diploma in HR/Training Administration

  • A minimum of 3 -5 years in a similar position

  • A good understanding of the SETA function and the funding process
