Organizational Setting

Through its Country Offices, or FAO Representations, FAO assists governments to develop policies, programmes and projects to
address hunger and malnutrition, and provides technical support for the sustainable development of their agricultural, fisheries and forestry sectors. The activities of the FAO Country Offices include design and implementation of country-tailored field programmes, liaison with local donor representatives, and active public awareness raising and outreach activities related to FAO initiatives such as the World Food Day.

Reporting Lines

The incumbent will work under the overall administrative and functional supervision of the FAO Representative in Kenya, the general
supervision of the Resilience Coordinator for Eastern Africa, the direct supervision of the Associate Operations Officer and in full
collaboration with the Resilience Team in Eastern Africa (RTEA).

Responsibilities

  • Support project managers and field personnel to develop travel plans, request for imprest and process travel expense
    claims in accordance to FAO regulations as approved by the sector head;
  • Support project managers to develop procurement requests, request for quotations and bid documents, which comply with
    FAO regulations and are of sufficient quality to clear initial QA by the sector head;
  • Track all procurement requests and follow up where necessary in order to ensure timely delivery to the field;
  • Support the RTEA in planning, organizing and facilitating workshops and events through booking of hosting facilities/venues, travel, transportation and other logistics;
  • In collaboration with other sector officers, compile a list of technical specifications for commonly procured items;
  • Consolidates the RTEA monthly attendance sheets, maintains programme staff leave plans while updating the staff movement register;
  • Proper documentation into the S drive and
    general filing system;
  • Maintain an up to date register of all sector contracts and LOAs on the shares Drive (contract/LOA no#, PO#, Service
    provider , project , Dates of Signature by FAO and SP , Date of CLOSURE , Reporting Deadlines , Report Clearance dates, payments dates, Amendments)and contracts of SP: Signatory , Technical Responsible and Financial Officer.
  • Perform any other related duties as may be required by the FAOR

    Qualifications

  • University degree in Social Sciences, Administration, Procurement/Supplies Management or related field
  • 3 years of relevant experience working in a similar position more specifically in the provision of programme/projects, operations support
  • Working knowledge of English
  • Extent and relevance of experience in working in a multi-cultural setting
  • Extent and relevance of experience working in a team
  • Familiarity with UN regulations and procedures will be an added advantage
  • Good communication, analytical, presentation and reporting skills
  • Ability to plan work and deliver within deadlines without compromising standards
  • Competency in the use of Computer Applications MS Word, MS Excel, MS PowerPoint
