Job Summary:

  • The Finance and Administrative Officer will provide financial and administrative support to all the organization’s programs, activities, staff and stakeholders.

  • The FAO is responsible to ensure that all financial and legal transactions and reporting are in compliance with the organization’s policies and processes and in compliance with local law.

    Qualifications and Experience

  • Diploma in Accounting/ administration/ commerce/Co-operative management or any business- related course.

  • CPA –K

  • QuickBooks accounting software experience

  • Skills in all Microsoft Computer packages –

  • Over 26 years old with 3years’ experience in similar position

  • Previous Experience working for not for profit organizations ( NGO)

    Duties and Key Responsibilities

    Financial

  • Accurately record all financial transactions and ensure proper support and documentation for all transactions

  • Prepare monthly, quarterly and annual financial reports for the board

  • Manage cash requisition, petty cash and reconciliation according to financial policy

  • Prepare and process LPOs and invoices and ensure payments in a timely manner

  • Reconcile weekly, monthly and yearly cash balance and bank statements for all programs, grants and sub-grantees.

  • Ensure payment of casual and contract labor in timely manner

  • Maintain an asset register/inventory of all organizational assets

  • Manage special grants according to financial reporting requirements of each grantor

  • Facilitate financial audits by providing all necessary documents to the auditor

    Administrative

  • Office Management

  • Procurement and Stock Shopping

  • Assist in managing Internal and External Communications

  • Self-motivation and initiative

  • Excellent organizational and time management skills

  • The ability to work well in a team but also on your own initiative

  • Proficiency in financial software and Microsoft

  • In-depth knowledge of internal and donor-related products and process
