Feed the Children Finance and Administration Assistant Jobs in Kenya; Feed the Children is seeking a highly organized, tech‑savvy, and proactive professional to provide reliable financial and administrative support to the Finance Officer and country office team in Kenya.

This role contributes to financial management, administrative coordination, and digital systems management, including document and records management through SharePoint and other internal platforms. The successful candidate will thrive in a dynamic and fast‑paced environment, manage confidential financial information with integrity, and support operational efficiency, compliance, and sound financial practices.

Works Directly With

  • 1. Finance Officer

  • 2. Country Office staff and field teams

  • 3. International Finance and Operations Office

  • 4. Consultants and external service providers

    Key Responsibilities

    Accounts Payable and Transaction Processing

  • 1. Capture all financial transactions accurately and timeously in QuickBooks Online

  • 2. Initiate and process payments to vendors, staff, consultants, and service providers through QuickBooks Online and Citi banking platform

  • 3. Ensure all accounts payable are fully supported with documentation and filed electronically and physically

  • 4. Maintain accurate records for vendor payments, consultant fees, travel/workshop expenses, contracts, and service provider invoices

    Reconciliations and Financial Controls

  • 1. Perform monthly supplier reconciliations and resolve discrepancies promptly

  • 2. Prepare supporting schedules for all balance sheet accounts

  • 3. Ensure all transactions comply with Feed the Children policies, donor regulations, and Kenyan statutory requirements

    Reporting and Donor Compliance

  • 1. Support preparation of routine financial reports (expenditure analysis, inventory reports)

  • 2. Assist with donor financial reports and required disclosures

    Advances and Tax Compliance
  • 1. Prepare, track, and monitor travel/workshop advances

  • 2. Follow up on outstanding advances and support timely retirement

  • 3. Ensure withholding tax certificates are issued and properly recorded

    Records Management and Administration

  • 1. Ensure complete and timely filing of financial documentation on SharePoint

  • 2. Provide ad hoc finance and administrative support to the Finance Officer

    Administration

  • 1. Manage front desk and communication functions (calls, visitors, correspondence)

  • 2. Coordinate with facility service providers to maintain a safe and clean office environment

  • 3. Support meetings/events logistics, including minutes, travel, accommodation, and transport arrangements

  • 4. Manage and monitor office inventory and supplies

  • 5. Liaise with outsourced cleaning service provider and escalate operational issues

    Qualifications

  • 1. Bachelor’s degree in Business Administration, Finance, Accountancy, or related field

  • 2. Minimum 2 years’ experience in finance/administration/accounting roles, preferably in an INGO

  • 3. Strong knowledge of Kenya tax laws, financial regulations, and reporting standards

  • 4. Advanced analytical and problem‑solving skills for financial data interpretation

  • 5. Excellent attention to detail and accuracy in reporting and transaction processing

  • 6. Strong communication skills (verbal and written)

  • 7. Ability to work independently and collaboratively in a fast‑paced environment

  • 8. High ethical standards, integrity, and reliability

  • 9. Proficiency in Microsoft Office (Excel) and QuickBooks Online

    Work Conditions

  • 1. Office‑based with occasional field assignments

  • 2. May involve extended hours during reporting periods or audits

  • 3. Regular coordination with finance team, auditors, and regulatory bodies
