  • Our client is seeking to hire an Executive Office manager who will be tasked with coordinating the work of the Directors and as well responsible for the overall management of the Executive Office.

  • The Executive Office Manager will be expected to manage the daily activities of the office and liaise with colleagues, service providers, private clients, and ensure a professional level of service and support to the Directors.

  • The role will work under direct supervision of the Directors.

    Main duties and responsibilities:

  • Managing the daily operations of the Executive Office and acting as the focal point for information concerning Executive Office activities.

  • Providing administrative and secretarial support to the Directors, screening and redirecting enquiries where appropriate.

  • Monitoring internal and external communications of the Executive Office and ensuring a trackable system of necessary responses. This should be as automated and streamlined as possible to allow performance measurement of response times.

  • Drafting routine correspondence, which will include preparing new business proposals, and client review reports.

  • Maintaining a calendar of appointments, meetings, travel, and other events for the Directors, and implementing all associated organizational arrangements, including the provision of briefs.

  • Working closely with Directors in preparing for and follow up for client meetings

  • Ensuring the Executive Office is compliant with statutory requirements including relevant business licenses.

  • Support the Directors and other staff with appointment setting, calendar management, travel arrangements, and correspondence

  • Assist in board and founder relations, including scheduling, document preparation and logistics for board meeting

  • Process Directors expenses and reimbursement claims.

  • Coordinate staff meetings, take and
    disseminate meeting notes

  • Available for training and continuous professional development.

  • Perform other reasonable task and duties as required by Directors.

    Key Requirements

  • A tertiary qualification in Business Administration or related fields or equivalent experience.

  • 5 years of experience with a minimum of 2 years in managing an executive office.

  • Self-motivated with the ability to work unsupervised.

  • Demonstrated ability to analyze and resolve problems in the daily operations of an executive office.

  • Ability to prioritize work schedules and meet strict commitments and deadlines.

  • Excellent knowledge of and experience with computers and modern systems of communication.

  • Excellent knowledge of Microsoft 365 applications.

  • Fully developed communication skills.

  • Excellent written and oral communication skills for effective communication in English and proficient oral communication in Swahili.

  • Demonstrated sensitivity and awareness, and the ability to effectively work with team members and clients.

  • Strong understanding and appreciation of private client work and ways of operating.
