Evidence for Change Finance and Admin Manager Jobs in Kenya; The Finance & Admin Manager will oversee financial management, accounting operations, budgeting, compliance, and reporting functions. The role ensures effective planning, utilization, monitoring, and accountability of financial resources in line with organizational policies, statutory requirements, and donor regulations. It also provides oversight on payroll, procurement compliance, and financial risk management to support sustainability and operational excellence.

Key Duties & Responsibilities

Financial Management & Reporting

  • Oversee accounting and financial systems for accurate transaction recording.

  • Prepare monthly, quarterly, and annual financial reports.

  • Produce “Actual vs Budget” reports and variance analysis.

  • Submit reports to management, partners, and regulators within timelines.

  • Maintain financial documentation and dashboards.

    Budgeting, Planning & Forecasting
  • Coordinate annual budgets and forecasts with departmental heads.

  • Track organizational and project budget performance.

  • Support proposal budgets and donor negotiations.

  • Monitor cash flow forecasts for liquidity.

    Accounting Operations
  • Manage accounts payable, receivable, reconciliations, and general ledger.

  • Ensure timely bank reconciliations and cash management.

  • Oversee multi‑currency transactions and foreign exchange reporting.

    Internal Controls & Compliance
  • Strengthen internal controls to safeguard assets.

  • Ensure compliance with policies, statutory regulations, and donor requirements.

  • Promote accountability and transparency.

    Project & Partner Financial Management
  • Monitor project expenditure and budget utilization.

  • Prepare donor/client financial reports.

  • Support project managers with financial analysis.

  • Conduct partner financial due diligence and capacity assessments.

    Payroll & Statutory Compliance
  • Oversee payroll and consultant payments.

  • Ensure statutory deductions and taxes are remitted on time.

  • Liaise with authorities on tax and
    compliance matters.

    Risk Management & Audit Coordination
  • Develop and monitor risk management frameworks.

  • Coordinate internal and external audits.

  • Advise management on compliance risks and corrective actions.

    Procurement & Administrative Oversight
  • Ensure procurement compliance with policies and donor regulations.

  • Review procurement plans and high‑value contracts.

  • Provide financial advice on procurement decisions.

    Strategic & Organizational Support
  • Develop finance strategy aligned with organizational goals.

  • Participate in strategic and operational planning.

  • Provide financial insights for sustainability and growth.

  • Serve on Senior Management Team (SMT).

    Human Resources & Administration
  • Oversee HR and administrative functions.

  • Coordinate recruitment, contracting, onboarding, and offboarding.

  • Maintain personnel records and HR compliance.

  • Manage office administration, facilities, and logistics.

    Qualifications & Experience

  • Master’s Degree in Finance, Business Administration, or related field (advantage).

  • CPA(K), ACCA, or equivalent required.

  • 5–8 years’ progressive experience in finance and accounting management.

  • Experience with donor‑funded projects and reporting.

  • Strong understanding of financial systems, compliance, taxation, and audits.

    Person Specification

    Essential
  • Extensive experience in non‑profit financial management.

  • Experience reporting to management/boards on financial risk.

  • Experience managing grant‑funded project accounting.

  • Experience developing funding proposals.

  • Experience setting up and managing payroll.

  • Experience line‑managing finance teams.

  • Strong interpersonal and communication skills.

  • Proficiency in Microsoft Office and financial software.

    Desirable
  • Experience with international institutional funders and NGOs.

  • Experience managing multi‑currency income and expenditure.

  • Experience with accounting software.
