Job Summary

  • The Secretary-Cashier is responsible for secretarial services, operating telephone, handling petty cash and makes approved payments to authorized persons.

    Responsibilities and Tasks

    Job Responsibility #1: Secretarial Duties:

  • Type letters, memos, minutes, e-mails, reports, proposals, etc. using computer and proof reads them;

  • Receives telephone calls and receives messages;

  • Arranges appointments with relevant Governmnet Offices, NGOs, etc. and keep their adresses up to date;

  • Operates office equipment such as photocopies, facsimile machine and computer under her domain;

  • Sends and receives e-mails and faxes and directs the same to the right person or section;

  • Keeps all administretive and financial forms up to date;

  • Ensures that the necessary stationary is available in sufficient quantity;

  • Ensures offices are in order and clean.

    Job Responsibility #2: Documentation:

  • Registers and gives reference numbers to all outgoing letters;

  • Ensures that letters, faxes, electronic communications, etc. are appropriately numbered;

  • Keeps all confidential letters, reports, personal files, etc. separately;

  • Keeps the filing system of the Organization in order;

  • Keeps record of staff leave and report of absence monthly;

  • Ensures the proper filing of all incoming and outgoing mails so that efficient and swift retrieval is possible.

    Job Responsibility #3: Cash Handling:

  • Receives cash and checks on a pre numbered Cash Receipt Voucher of the organization, deposits collected money in the bank intact and submits the Receipt/Invoice and bank deposit slip to accounts;

  • Maintains a petty cash and fuel coupones and makes disbursement against written orders or authorizations;

  • Confirms that petty cash payment voucher and supporting documents are complete before effecting payments;

  • Follows-up the settlement of temporary advance payments effected with "Suspense Vouchers” and report to the Supervisor if there are unsettled suspense vouchers;

  • Effects payment of payroll to employees;

  • Obtains receipts and reconciles cash balance with records, clears all advances taken by
    staff and updates all records on file;

  • Requests for the replenishment of the petty cash when it reaches the minimum limit.

    Job Responsibility #4: Storekeeping:

  • Maintains sufficient stock of the fast-moving office supplies;

  • Receives all purchased materials against GRN and issues materials form store against authorized and approved SIV;

  • Prepares purchase requisition and order of items to be purchased;

  • Prepares annual stock and fixed count at the year end.

    Job Requirements

    Education

  • Diploma/10+2 in Secretarial Science or related.

    Experience

  • 2/4 years of relevant work experience.

    Technical and Other Skills

  • Typing skill both in English and Amharic;
    Willingness to work under pressure;

  • Proficient in computer skills (MS word, Excel, etc);

  • Good interpersonal and ability to communicate information accurately.
