Main Duties and responsibilities

  • The Grant Management Coordinator is accountable to the Finance and Procurement Directorate recruited for effective coordination and implementation of all grants and projects, the Institute gained through partnership and collaboration with development partners to accomplish its vision and mission. vThe Grant Management Coordinator coordinates all grants and projects in consolidated manner to see their smooth implementation with the day to day follow up of personnel responsible to particular project implementation, monitoring and evaluation.
  • He/ She will have the following duties and responsibilities to perform with close team work with separate grant and project management coordinators:

  • Map all the ongoing grants/projects with their major budget breakdown by source of the fund to align with the Institute overall resource envelope
  • Document copy of the proposals to track the main terms and conditions for management attention to meet the requirements
  • Play a key role in the preparation of grants work plan, detail implementation budget and cash flow projections and analysis in collaboration with Plan and M&E Resource Mobilization team, program staff, finance staff and project coordinators;
  • Consolidate and submit to GD and DDGs fund liquidation reports bi-weekly analyzing with key indicators for high level timely innervations
  • Ensure the allocation of the minimum 15 % overhead cost to each grant and project and control its proper use in accordance with the Institute internal guideline
  • Maintain complete documentation of the grants and provide information as required
    Regularly monitor program progress and budget performance, write regular grant reports, in collaboration with different Directorates and take appropriate actions as required.
  • Actively participate in preparation of close out plan as per the grant agreement
    Work closely with each project implementing personnel to
    ensure that all the required documents are submitted to development partners in a timely manner, follow up the audit comments and to meet requirements in the close out process.

    Job Requirements

    Expected background and Experience

  • Grant Management Specialists With MA, MBA with related Fields and 8 years work experience or BA with 10 years related work experience
  • Relevant experience in grant/project management from bilateral and multilateral development partners
  • Relevant experience in program planning, project management and M & E and projects financial administration;
  • Demonstrated experience in health project (grant) management and coordination
  • Experience/Knowledge about the Ethiopian Health sector development program and the health system strengthening activities ;
  • Competency in use of advanced computer software, internet and computer based management solutions;
  • Expert level skill in planning and budget development, budget monitoring, budget reprogramming, demand base reporting for development partners and technically representing the project you are assigned on;
  • Experience in coordination, communication decision making, committed to achieve results, relationship-building and networking especially with government and International Development
  • Partners preferably experience in CDC/GF/UN agencies fund management.
  • Familiarity with health systems policies and sectoral reform processes,
  • Ability and proactive in team works.
  • Fluency in English, good communication and negotiation skills;

  • Both the Civil service and EPHI Human Resource Development rules and regulations will be applied to guide the day to day services.
  • As new priorities emerge, EPHI may periodically revise the TOR for this position.
