Job Purpose: - The purpose of this job is to Verify that the receiving and delivery of commodities are carried out as per the exchange’s rule and regulation and essential procedures; to make sure that Goods Receiving Notes and Goods Issuance Notes are properly prepared; to reconciles the physical inventory balance of warehouses against the inventory records and is custodian of all Goods Receiving Notes /GRN and Goods Issuance Notes /GIN documents.

Summary Major Duties and Responsibilities

  • Confirms that the overall activities of a branch he/ she assigned is performed in compliance with the set operation policies and procedures;
  • Responsible for collecting and organizing of all receiving and delivering documents of commodities from all LIC/IC and WHO Supervisor of a particular branch;
  • Ensures the accuracy and completeness of the documents received and ensure the details are in compliance with the operation Manual;
  • Files GRN and GIN separately by the name of each LIC/IC, commodity grade and GRN numerical sequence;
  • Check the accurateness of received documents compared to the IT system;
  • Maintain inventory stock register, follow and monitor the balances in each shed;
  • Ensure continuous checking and monitoring of stack balances, end of
    stack and end of grade reports;
  • Verify and report any discrepancies between physical existence of commodities and reports received from LICs/ICs to the Head of Branch Operations and to Audit Unit at HO;
  • Randomly check trucks loaded and ready for dispatch after any addition or deduction is completed, all the necessary documentation including GIN are prepared, and ready to be released;
  • Conduct a monthly physical count in terms of bags and estimated weight; and document and report the regular physical count to the head of branch operations;
  • Conducts biweekly warehouse visual inspection and submit the inspection report to head of branch operations;
  • Make an up to date inventory reconciliation by each LIC, Grade and production year;
  • Maintain the daily inventory balance;
  • Conduct weakly physical count;
  • Ensures that all inventory transactions are properly recorded, documented; and updates the stock records at all times in accordance with the warehouse operations manual by LICs/ICs;
  • Compiles reports including daily GRN and GIN approval, opening balance, deposit, delivery by classification and grade on a daily basis and submits to the Warehouse Supervisor;
  • Displays the highest ethical and professional behavior towards the customers/ clients getting services associated with the
  • Exchange at specific warehouse;
  • Performs other related tasks as assigned by the immediate supervisor.

    Job Requirements

    Required Qualification and Experience

  • MBA\MA\MSc\BA\BSc degree in Finance, Business Management or agribusiness management or other relevant field
  • 2/4 years of relevant experience in auditing, inspections, warehouse management, inventory management, or related areas
